Role Summary
The Inventory Planning Manager is the operations decision-maker. You are directly accountable for on-time order delivery, inventory health, and the performance of the replenishment team. Your team handles day-to-day execution — order placement, follow-ups, and freight coordination — while you set direction, make decisions on stock levels and priorities, and step in when issues escalate.
You will lead a small team (Inventory Analyst, Virtual Assistant) and be measured on outcomes, not activity.
Core Accountabilities
1. On-Time Order Delivery
- Own PO-to-warehouse delivery outcomes — team executes, you ensure results
- Oversee shipment execution and freight issue resolution through direct reports
- Step in to troubleshoot delays, escalations, and critical orders when issues arise
- Serve as primary escalation point for fulfillment and logistics problems that cannot be resolved at the team level
2. Inventory Health
- Make decisions on stock levels, reorder priorities, and inventory positioning across all warehouse locations
- Direct team on out-of-stock, overstock, and slow-moving inventory actions — team executes order placement and follow-up
- Ensure replenishment recommendations from the team are timely, accurate, and aligned with demand signals
- Ensure 3PL warehouse locations maintain adequate stock levels and optimized SKU selection to service customers regionally
3. New Item Evaluation (Stock & Consumer Products)
- Create and execute a pre-order evaluation process: market analysis to determine ideal initial order quantity
- Create and execute a post-order evaluation process: 3-month and 6-month throughput and market reception review
- Provide data-backed recommendations on reorder planning or product discontinuation
4. Stock Risk Identification
- Proactively identify potential stockouts and excess inventory early
- Direct team to maintain a running risk register for inventory exposure
- Communicate risk status and mitigation actions weekly to leadership
5. LMA — Lead, Manage, Hold Accountable (Replenishment Team)
- Directly manage an Inventory Analyst and a Virtual Assistant supporting freight updates and follow-ups
- Set clear expectations, inspect progress, and follow up consistently
- Develop team capability and ensure ownership is clearly defined
- Participate in EOS Level 10 meetings and weekly scorecard reporting
Additional Responsibilities
Dropship Program Management
- Maintain and manage the existing dropship program for inbound and outbound fulfillment
- Onboard new dropship vendors or remove underperforming ones based on business needs
- Ensure dropship workflows are documented and operating smoothly
Success Metrics (KPIs)
- On-Time Delivery % (PO approval to delivery)
- Inventory Availability / In-Stock Rate %
- Stockout Risk Items (count and aging)
- Freight Issue Aging (open days to resolution)
- Open Escalations (count and resolution rate)
- New Item Evaluation Completion Rate (pre/post order reviews on time)
Physical Demands
Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages and other items, to walk short distances or climb stairs.
Work is generally sedentary in nature. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and documents that may include figures; typing; viewing a computer terminal; and reading.
Qualifications
Required
- 5–10 years of experience in supply chain, logistics, inventory planning, or order management, including direct supervisory responsibility over team members
- Proven track record of leading, developing, and holding direct reports accountable to measurable outcomes
- Strong proficiency with inventory management systems (Cin7 or similar ERP)
- Advanced Excel / Google Sheets and data analysis skills
- Experience managing vendor relationships and freight/logistics coordination
- Highly organized, detail-oriented, and technically capable
Preferred
- Experience in a high-SKU B2B/B2C environment
- Experience in cannabis, CPG, or regulated industries
- Familiarity with demand planning tools (e.g., Inventory Planner)
- Experience with EOS (Entrepreneurial Operating System) or similar accountability frameworks
- Familiarity with PowerApps or workflow automation platforms
