Client Service Associate (CSA)

Special Needs Planning Group

Santa Clara, CA · Remote flexibility available

Part-time (20 hours/week) · Reports to Lead Advisor / Practice Owner

About the Role

Special Needs Planning Group helps families with special needs navigate complex financial planning. We’re hiring a Client Service Associate to own the client experience end to end—serving as the primary point of contact and the internal “quarterback” who keeps every service request moving until it’s resolved.

This is a client-facing coordination role, not a paperwork-processing one. You’ll make sure clients feel informed and cared for, coordinate work across our advisor and back-office partners, and keep our CRM organized—freeing the advisor to focus on planning and strategy.

What You’ll Do

Be the first point of contact for client service questions, delivering warm, timely, professional communication and proactive status updates.
Own all client service requests from initiation through completion—assigning clear owners, due dates, and follow-up so nothing falls through the cracks.
Coordinate account service needs (beneficiary changes, withdrawals, contributions, transfers, account maintenance, new account setup), handing off to processing partners and tracking them to resolution.
Prepare meeting materials and account summaries in advance, then execute post-meeting follow-up and task tracking.
Maintain accurate, current client records and document all activity in Redtail CRM.
Escalate stalled or at-risk requests, and help refine service workflows as the firm grows.

What We’re Looking For

Experience in financial services, banking, insurance, wealth management, or another high-touch client service environment (strongly preferred).
Exceptional organization and time management, with the ability to juggle many moving parts without losing detail or follow-through.
Strong written and verbal communication, plus sound judgment around urgency and escalation.
Comfort in a fast-paced setting with shifting priorities, and the tech aptitude to learn new systems quickly.
CRM experience preferred; Redtail a plus.
A client-first mindset, strong sense of ownership, and a self-starter approach.
This position begins part-time at approximately 20 hours per week, with the expectation of transitioning to full-time within the next two years.
