Full Job Description

Administrative & Scheduling Specialist (In-Office Position)

Certified Medical is seeking a mature, reliable, and detail-oriented individual to join our team. This is a full-time (a part time yet fixed schedule is possible), in-office position (this role is not remote). The ideal candidate will thrive in a fast-paced environment, manage calls, and possess excellent organizational and customer service skills.

Work Hours: Monday through Friday, 8:30 am – 5:30 pm.

Key Responsibilities May Include:

Appointment Management: Schedule and coordinate appointments for medical exams and peer reviews with physicians, their staff, and claimants or their attorneys.
Communication: Handle a large volume of incoming and outgoing phone calls and emails, including providing reminder calls, confirming attendance, and following up on physician reports.
Document & Data Handling: Process incoming and outgoing mail (including following up on returned mail), request and manage medical records, and perform data entry updates. This includes downloading and uploading records into our system.
General Administration: Perform various administrative duties and participate in continuous cross-training to assist other departments as needed.

Required Skills & Qualifications:

Experience: Proven experience managing high-volume phone calls and performing data entry.
Technical Proficiency: experience with MS Office programs preferred.
Communication: Strong English language skills (grammar, verbal, and written) are important. Please indicate any fluency in additional languages when applying.
Work Style: Must be a team player with a positive attitude, excellent organizational skills, and a proven ability to maintain focus, accuracy, and attention to detail while meeting daily goals and quotas.
Industry Knowledge (Preferred): Familiarity with medical and insurance claims terminology is a plus.

Physical Requirements:

This role requires the ability to sit at a workstation and operate a computer for extended periods, clear visual acuity for reading screens and documents, and manual dexterity for computer-related tasks. Occasional walking, standing, and lifting of up to 5 lbs is also necessary.
