POSITION SUMMARY
The Event Management Assistant position is designed for students pursuing a degree in Hospitality Management, Event Management, Tourism, Business, Marketing, or a related field.
This position provides hands-on experience throughout the entire event lifecycle, including but not limited to:
- Sales and client relations

Assistants will work closely with the Event Sales Coordinator to learn how successful weddings, corporate meetings, golf tournaments, galas, conferences, and social events are planned and executed from initial inquiry through final billing.

Shadow event sales meetings and client consultations.
- Assist with preparing proposals, contracts, banquet event orders (BEOs), and planning documents.
- Participate in venue tours for prospective clients.
- Help respond to client inquiries and maintain communication throughout the planning process.
- Learn the event booking process and CRM management.

Assist with event timelines and logistics.
- Coordinate room layouts and event diagrams.
- Work with culinary, banquet, golf, lodging, and maintenance departments to ensure seamless event execution.
- Confirm event details with vendors and clients.

Assist with room setup and event inspections.
- Ensure event spaces are clean, organized, and guest-ready.
- Support banquet staff during weddings, meetings, tournaments, and special events.
- Help troubleshoot operational challenges during live events.
- Assist with event breakdown and post-event inventory.
Administrative Responsibilities

Maintain event files and planning documents.
- Assist with data entry and reservation management.
- Prepare welcome materials, signage, seating charts, and event packets.
- Help organize event supplies and storage areas.
Marketing & Business Development

Assist with wedding showcases and open houses.
- Help gather event photography and testimonials.
- Support social media and promotional initiatives when applicable.
- Participate in market research and competitor analysis.
