Full Job Description

Accounting & Office Operations Manager

Full-Time | Hourly | 100% On-Site

We're a multi-location automotive retail company looking for an experienced Accounting & Office Operations Manager to oversee our accounting, payroll, and office administration at our Susanville location. This is a hands-on role for someone who works independently, takes initiative, and enjoys improving processes. You'll play a key role in keeping our financial operations accurate, organized, and running efficiently while supporting multiple retail stores.

Key Responsibilities

Billing & Collections

Manage the full accounts receivable cycle, including invoicing, payment processing, and collection of past-due accounts.
Monitor aging reports, investigate discrepancies, and resolve outstanding balances.
Identify opportunities to improve billing processes and increase efficiency.

Payroll & Timekeeping

Process bi-weekly payroll for employees in California, Nevada, and Oregon while ensuring compliance with applicable state labor laws.
Track employee hours, overtime, meal breaks, and paid time off.
Import and reconcile timecard data from POS systems into QuickBooks Desktop.
Coordinate payroll deductions and benefits with our benefits broker.

Office Administration

Oversee day-to-day office operations, including vendor communication and administrative support.
Manage office email accounts by monitoring inboxes, responding to inquiries, and routing messages appropriately.
Maintain organized digital and physical filing systems.
Provide administrative support to company leadership and anticipate operational needs.

Store Revenue & Bank Reconciliation

Monitor daily sales activity across multiple stores and reconcile sales with POS reports.
Reconcile credit card batches, cash deposits, and bank activity.
Investigate and resolve cash shortages, deposit issues, and other banking discrepancies.

Scheduling & Human Resources Support

Review employee schedules for compliance with California meal break and overtime requirements.
Maintain confidential personnel records and employee documentation.
Serve as the primary contact for scheduling questions, timecard corrections, and time-off requests.

Qualifications

Three or more years of experience in bookkeeping, accounting, or office operations, preferably in a retail environment.
Strong QuickBooks Desktop experience including A/R and A/P and class-based G/L mapping and reconciliation.
Experience processing payroll, reconciling cash and bank accounts, and managing A/R and A/P.
Working knowledge of California payroll and labor regulations, including overtime, meal and rest breaks, and personnel record requirements.
Proven ability to work independently, improve processes, and build efficient systems.
Strong organizational skills, attention to detail, sound judgment, and the ability to handle confidential information professionally.
Comfortable communicating clearly and professionally with employees, managers, and vendors.

Pay: From $25.00 per hour
