Full Job Description

Fireside Coffee Co. is seeking a reliable, detail-oriented Part-Time Accounting & Administrative Coordinator to support our finance and operations team. This role is ideal for someone who enjoys numbers, organization, and structured daily tasks—without the responsibility of full-charge bookkeeping.

Position Overview

The Accounting & Administrative Coordinator will manage key daily financial processes such as accounts receivable, accounts payable, vendor coordination, cash handling, internal reporting, and bank deposits. This position supports leadership with accurate, timely financial information but does not include payroll processing or reconciliations.

Key ResponsibilitiesCash Handling & Reporting

Count, verify, and record all daily cash sales
Count and disperse daily cash tips to staff
Prepare daily and weekly cash accounting reports
Organize and maintain accurate internal cash documentation
Make regular bank deposits and maintain deposit records

Accounts Receivable (AR)

Track customer invoices
Apply and record customer payments
Monitor aging reports and assist with collections
Communicate professionally with customers regarding outstanding balances

Accounts Payable (AP)

Enter vendor bills and prepare payments
Track due dates and maintain timely vendor communication
Assist with applying for vendor credit terms and updating vendor info

Vendor & Customer Account Setup

Set up and maintain vendor and customer accounts in our systems
Handle vendor communication for statements, terms, and account updates

Inventory

Assist with inventory reports

General Accounting Support

Assist with documentation, filing, and routine administrative accounting tasks
Provide quick, accurate financial information to leadership when needed

Qualifications

Experience in basic accounting, bookkeeping, or administrative financial roles
Comfortable handling cash with accuracy and integrity
Strong attention to detail and organizational skills
Clear, professional communication skills
Ability to work independently and maintain confidentiality
Experience with QuickBooks or similar software is a must
Comfortable using Ai tools
Must have reliable transportation for bank deposits

Schedule & Pay

Part-Time: 12–20 hours per week
In Person (not remote)
Flexible daytime schedule between the hours of 8a-5p
Hourly pay based on experience
No weekends
