Always Best Care Senior Services is dedicated to providing exceptional in-home care for seniors. Our team is committed to delivering compassionate service while supporting clients, caregivers, and staff through operational excellence and a people-first culture. We are looking for a highly organized, positive, and detail-oriented Administrative Assistant to help support the daily operations of our growing agency.

Position Overview

As the Administrative Assistant, you will serve as a central support resource for the agency by assisting with daily office operations across multiple departments. This role provides administrative support for caregiver onboarding, client and caregiver recognition programs, office inventory management, internal communications, and special projects. The ideal candidate is organized, adaptable, customer-service focused, and enjoys working in a fast-paced team environment while helping ensure the office operates efficiently each day.

Primary Responsibilities

Greet guests, clients, caregivers, and visitors while creating a friendly and professional first impression.
Answer incoming phone calls and direct inquiries to the appropriate department.
Support daily office operations, including filing, scanning, document management, mail processing, and office opening and closing responsibilities.
Assist with caregiver onboarding by creating personnel folders, preparing identification badges, uploading employee photos into company systems, assembling orientation materials, and maintaining orientation supplies.
Maintain accurate electronic records and documentation within SharePoint, WellSky, and other company systems.
Prepare and distribute recurring client and caregiver updates, reports, and required communications to agency leadership and community partners.
Coordinate monthly client and caregiver recognition initiatives, including birthday and anniversary cards, gifts, and social media acknowledgments.
Monitor office inventory and order office supplies, branded materials, orientation supplies, drug testing supplies, badges, and other operational resources as needed.
Assist with marketing initiatives by creating Canva flyers, digital graphics, and internal communication materials.
Prepare client welcome packets, maintain assessment folders, and assist departments with administrative projects as needed.
Track and communicate outstanding documentation, including client service agreements and nursing reassessment reports.
Support multiple departments by completing administrative tasks and special projects as business needs evolve.
Maintain a clean, organized, and professional office environment.
Foster positive working relationships with clients, caregivers, employees, and community partners while promoting teamwork and excellent customer service.

Qualifications

High School Diploma or GED required; Associate's degree preferred.
Must be 18 years of age or older.
Valid Driver's License, active automobile insurance, and current vehicle registration required.
Previous administrative, office management, or customer service experience preferred.
Excellent organizational skills with strong attention to detail.
Strong verbal and written communication skills.
Proficiency with Microsoft Office Suite and the ability to quickly learn internal software platforms.
Experience with SharePoint, Canva, or similar software is preferred.
Ability to prioritize multiple responsibilities while maintaining professionalism, accuracy, and confidentiality.
Self-motivated with the ability to work independently and collaboratively within a team environment.
