Overview

Join our dynamic team as an Afternoon Receptionist, where you will be the welcoming face and organizational hub of our office during the afternoon hours. This energetic role is perfect for a proactive individual who thrives in a fast-paced environment, excels at multitasking, and enjoys providing exceptional client support. You will manage front desk operations, coordinate administrative tasks, and ensure smooth communication between clients, visitors, and staff. Your positive attitude and organizational skills will help create a professional and inviting atmosphere for everyone who walks through our doors.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills
Handle incoming calls, direct inquiries efficiently, and take detailed messages when necessary
Maintain accurate records through data entry, filing, and document proofreading to support office operations
Assist with calendar management and appointment scheduling using Google Workspace for multiple attorneys
Handle incoming and outgoing mail, faxes and emails
Utilize Google Workspace, Microsoft Word and Microsoft Excel

Skills

Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
Prior office or clerical experience with familiarity in front desk operations and multi-line phone systems
Strong customer service orientation with the ability to handle client communication professionally and courteously
Personal assistant experience or calendar management skills that facilitate efficient daily operations
