Administrative Assistant (Accounts Payable / QuickBooks)

The Opportunity

Finnicum Motor Company is seeking an organized, process-driven Administrative Assistant to take ownership of our office administration and accounting workflows (AP/AR). We run a fast-paced, highly accountable operation, and this seat is vital to keeping our daily business flowing smoothly.

If you are a skilled administrative professional who loves keeping records perfectly organized, has a strong knack for numbers, and is fluent in QuickBooks, we want to hear from you.

What You Will Do (Administrative & Accounting Support)

Daily AP/AR Operations: Take charge of accounts payable and accounts receivable, entering financial transactions efficiently and maintaining expense cost centers.
QuickBooks & Data Management: Utilize QuickBooks and internal software to update accounts, track expenses, and ensure clean, accurate ledger entries.
Statement Reconciliation: Reconcile bank and vendor statements daily, track down missing invoices, and ensure full compliance (W-9s, sales tax records).
Vendor & Customer Relations: Serve as the professional point of contact for vendor billing inquiries, resolve discrepancies, and manage past-due accounts.
Office Administration: Maintain highly accurate digital scanning and filing systems, prepare documentation for the management team, and provide general clerical assistance to keep the office running cleanly.
Month-End Support: Assist the accounting department with month-end closing procedures, routine journal entries, and general administrative task deadliness.

What We Are Looking For (Qualifications)

Experience: Previous office administration, clerical, or executive assistant experience is required. Experience within a dealership or fast-paced inventory environment is a major plus.
Software Skills: Proficient working knowledge of QuickBooks and MS Excel is required.
Data Entry Speed: Strong 10-key by touch skills with the ability to enter numerical data quickly, efficiently, and with zero errors.
Core Traits: Exceptional attention to detail, strong time-management habits, and the ability to self-check your work before passing it down the line.
Professionalism: A high level of discretion, reliability, and trust when handling confidential company financial and administrative information.
