Full Job Description

We are seeking an organized, detail-oriented, and proactive Tax Office Manager to oversee the daily workflow and operational efficiency of our tax office. This individual will be responsible for, but not limited to managing employees, monitoring workflow timelines, ensuring deadlines are met, and maintaining smooth day-to-day office operations during both peak tax season and throughout the year.

The ideal candidate is a strong leader with excellent communication skills, the ability to manage multiple priorities, and experience coordinating teams in a fast-paced professional environment.

Key Responsibilities:

Workflow & Operations Management

Oversee and coordinate daily office workflow to ensure timely completion of tax returns and client deliverables
Monitor employee productivity, assignments, and project timelines
Manage workload distribution among staff to maintain efficiency and balance
Track filing deadlines and ensure all internal and IRS deadlines are met
Identify workflow bottlenecks and implement process improvements

Employee Supervision

Coordinate staffing needs during peak tax season
Ensure employees remain on task and adhere to company procedures and timelines
Serve as the primary point of contact for operational questions and workflow concerns

Office Administration

Maintain organized office systems, procedures, and client records
Coordinate communication between preparers, administrative staff, and management
Ensure confidentiality and security of sensitive client information
Assist with implementation and management of office software and workflow systems
Support management with operational reporting and status updates

Client & Team Coordination

Help maintain a professional and client-focused office environment
Communicate with clients regarding documentation, scheduling, and status updates when necessary
Facilitate clear communication among team members to ensure seamless operations

Qualifications

Previous experience in office management, tax office administration, or a related supervisory role. 3-5 years preferred
Strong organizational and time management skills
Ability to manage multiple deadlines in a fast-paced environment
Excellent leadership, communication, and problem-solving abilities
Proficiency in Microsoft Office and tax or workflow management software preferred
Ability to maintain professionalism and confidentiality at all times

Schedule

Full-time
Weeknights & Saturdays required during tax season

Pay: $60,000.00 - $120,000.00 per year
