Job Overview

We are seeking a full time Office Manager and Contract Administrator to work directly with the owner of a well established real estate development and property management company based in Manlius, NY. This person will serve as the owner’s right hand and play a key role in keeping daily operations organized and moving forward.

The ideal candidate is proactive, highly organized, confident in communication, and able to take ownership of responsibilities without constant direction. This is an on site position supporting commercial and residential properties, construction projects, and ongoing property operations. Join to help streamline operations, manage contractual relationships, and contribute to overall growth and success.

Duties

Answer and professionally screen incoming phone calls

Respond to emails and draft business correspondence

Maintain organized digital and physical filing systems

Source and coordinate subcontractors including plowing, landscaping, cleaning, sewer services, clean outs, and maintenance

Request bids and track vendor contracts and agreements

Screen calls regarding vacancies and schedule and conduct property showings

Assist with general property management and administrative tasks

Maintain confidentiality of business and tenant information

Create and improve office systems and processes to keep operations efficient

Monitor contractor performance and manage vendor onboarding/offboarding processes to optimize service delivery

Requirements

Strong communication skills and confidence on the phone

Highly organized and detail oriented

Ability to take initiative and work independently

Professional demeanor and ability to work well under pressure

Comfortable working directly with a fast paced business owner

Proficient in Microsoft Office including Word, Excel, and Outlook

Prior experience in office management, property management, real estate, or construction preferred

Ability to handle confidential information responsibly
