Full Job Description

Office Administrator/Manager - We are looking for a responsible and detail-oriented Office Administrator/Manager to assist us in managing our back-office, who is looking to come aboard a rapidly growing company with upward mobility as the company continues to expand.

You will be in charge of the majority of our customer service tasks including answering questions from clients via call, email, and text messages, assisting us with our digital marketing on social media and sales that are handled over the phone, as well as some general office tasks including billing and invoicing, and onboarding employees (more details further into the description).

Job Type: Full-time, In-Person (Primarily Remote for the first 90 days, Fully In-Person Beginning June 1) in Marcellus, NY 13108

Pay Rate: $23- $25 per hour depending on experience

8:30 AM- 5:30 PM (12- 1 PM Lunch), Monday-Friday

Essential Functions and Responsibilities

Answering all General Customer Calls, Texts, and Emails- Sales, Billing, Scheduling, and Quality-Related Questions or Concerns
Basic Phone Sales- Estimating and Selling Residential Lawn Mowing and Snow Plowing Services
Setting up Sales Appointments for Larger Landscape Jobs
Managing all Follow-Up Calls, Texts, and Emails to Past Estimates
Creating Posts and Updates on Social Media and the company Google My Business Profile
Monitoring Sales KPIs
Assisting with Outbound Sales Process and Bidding Processes
Managing Regular Billing/Invoicing for Commercial and Residential Clients
Compiling Employee Hours on a Weekly Basis Prior to Payroll Getting Submitted
Managing Information to take care of Field Staff’s P4P Program
Managing Virtual Assistant- Make Sure that they are Compiling Property Log Data Correctly and Updating all KPI Sheets for Owner to Regularly Review
Assisting Operations Manager in Purchasing and Managing a Proper Inventory of all Consumable Supplies
Participating in Daily Check-in Meetings, as well as Beginning and End-of-Week Meetings
Help Onboard New Employees- Setting them up in Time Clock, with Employment Contracts, and getting them set up for Digital Training
Managing Accounts Receivable and Accounts Payable- Billing out Interest for Past-Due Invoices, Following up on Payment, Managing Payments for most Minor Bills (tolls, insurance, equipment registration, loans, etc.)

Preferred Skills, Qualifications, and Additional Responsibilities

Extremely professional written and verbal communication skills, both in email and phone correspondence
Strong organizational skills and the ability to manage several high-priority tasks at a time while maintaining a high level of quality in all tasks
Attention to detail and accuracy in data entry and billing-related matters
Ability to work effectively with other team members and take direction and correction
Ability to handle sensitive and confidential information with discretion
Problem-solving mindset that can take on difficult tasks and unforeseen challenges without needing specific instructions from other team members
Coordination capabilities
Willingness to adapt to changing project needs and timelines

Education & Experience:

High School Diploma/Associates Degree or higher preferred.

Who We are and What to Expect:

Yellow Hat Lawn & Landscape is a landscaping and snow removal company based out of Camillus, NY- we are going into our 8th season in business, and went from a push mower and a dream to a dedicated team of professionals building a rapidly growing company that provides quality service to the greater Syracuse, NY region.

We have doubled or tripled each year since 2022, and are looking for a competent and responsible office-person to help us tackle the back-office, so current managers can continue to focus on specific areas of expertise in finance and operations, so the company can continue to expand.

Spring (late March through late May) and Fall (October through November) are our busy seasons and are more focused on hitting sales targets and staffing accordingly. Summer (late June through September) and Winter (December through early March) are our slower seasons, where we prioritize honing in on operational efficiency and setting ourselves up for the next busy season.

This position will be strictly in-person, and will include a dedicated office-space.

All office technology and materials will be provided.
