Full Job Description

Syracuse Area Landmark Theatre owns and operates the historic Landmark Theatre, and is responsible for its maintenance, preservation, restoration and improvements. The Landmark Theatre is the premiere destination for touring concerts, comedians, family shows, and Broadway productions in central New York, and has its own, rich 95+ year history.

The Office Administrator reports to the Executive Director and is responsible for supporting SALT’s finance, development, and executive leadership. The position will be scheduled 30 hours per week with additional work opportunities when the event schedule merits.

Qualifications

· Five years of experience in office administration, clerical, tasks, accounts payable recording

· Excellent written and verbal communication skills

· Demonstrated ability to work collaboratively with staff and board

· Experience with Quick Books Online or similar bookkeeping software preferred

· Experience with fundraising software and donor databases preferred

· A passion for theatre, historic preservation, and our community

· Organization and attention to detail

· Flexibility and adaptability

Responsibilities

Finance Support

· Support the finance department by accurately recording and filing invoices.

· Confirm accuracy of invoices with department heads when necessary.

· Receive, stamp, and distribute daily mail deliveries.

· Record checks as they are received.

· Assist with filing invoices.

Development Support

· Record gifts and pledges in our fundraising database.

· Support Development staff in the production of gift acknowledgements.

· Staff in person cultivation opportunities and record data.

Marketing Support

· Submit Landmark events to area event calendars;

· Localize artist-provided marketing assets and communications;

· Provide content for social postings;

· Staff PR opportunities, postering, and similar efforts.

Administrative Support

· Order office supplies as needed

· Assist leadership with service contracts, licensing requirements.

· Collect materials to support grant writing and payment requisition.

· Other duties as assigned.

Physical Requirements

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages and other items, to walk short distances, and drive a vehicle to deliver and pick up materials.
