SEED Syracuse Inc., owner of The Chimes Building, is seeking a Leasing Administrative Coordinator to support the operations of the Chimes Building, located at 500 S. Salina Street, Syracuse NY 13202. The building is slated to open in late July of 2026 and SEED Syracuse Inc. wishes to bring on the Leasing Administrative Coordinator prior to the building’s completion.
Summary of the Position:
The Leasing Administrative Coordinator supports the Residential Manager in the day-to-day leasing, management, and resident-facing functions of a mixed-income residential community. This role combines front-line leasing support, applicant and resident communication, document management, and general office coordination. The Coordinator helps maintain an organized leasing pipeline, supports occupancy goals, ensures accurate records in Propertyware, and manages tour scheduling and prospect follow-up through the software platform, Tenant Turner.
The Leasing and Administrative Coordinator is a full-time, salaried position. The Coordinator will work on-site in an office at 500 South Salina with normal working hours of 8:30am-4:00pm, Monday through Friday, with some nights and weekend hours.
Primary Responsibilities
Leasing and Prospect Support
● Respond promptly and professionally to prospect inquiries by phone, email, text, and in person.
● Coordinate, monitor, and confirm tours.
● Conduct property tours as assigned.
● Maintain prospect pipeline records and follow-up schedules.
● Assist with application intake and tracking.
● Prepare leasing documents and support lease execution.
● Help monitor online listings and report needed updates.
● Support marketing and outreach efforts as directed.
● Assist with waitlist management, showing schedules, and prospect communications through the Tenant Turner platform.
● Help track leasing traffic, conversion activity, and prospect status.
Administrative Support
● Maintain organized digital and physical files.
● Enter and update applicant, prospect, resident, and lease information in Propertyware.
● Upload and organize required documents in Propertyware.
● Support document collection, filing, and record retention for applications, leases, renewals, notices, and move-in / move-out materials.
● Prepare standard correspondence, notices, and resident communications.
● Support office workflow, calendars, scheduling, and routine reporting.
● Maintain supply inventory for leasing and office operations.
● Assist with data entry and quality control to ensure accurate records across systems.
Applicant Processing and Workflow Support
● Collect required application documents and verify completeness.
● Track outstanding items and follow up with applicants.
● Coordinate with the Residential Manager regarding screening steps, approvals, conditional approvals, and denials.
● Ensure files are complete before lease preparation.
● Support workflow coordination between Tenant Turner and Propertyware.
● Help maintain consistency in leasing procedures, application handling, and document processing.
● Maintain confidentiality of applicant and resident information.
● Assist with file storage, document security, and data-handling procedures.
● Follow approved Standard Operating Procedures (SOPs)
Resident Relations and Office Support
● Serve as an initial point of contact for residents, guests, and vendors entering the office.
● Answer routine resident questions and route more complex concerns to the Residential Manager.
● Assist with move-in and move-out scheduling.
● Support resident notices, community communications, and event coordination.
● Log and route service requests according to established workflows.
● Assist with parking administration, resident portal support, and general resident accounting questions.
● Help attend Commercial Parking lot when needed.
● Help maintain a professional, welcoming, and service-oriented office environment.
Coordination and Team Support
● Work closely with the Residential Manager to support leasing and occupancy goals.
● Coordinate with the Building Manager and facilities staff on resident-facing logistics as needed.
● Communicate with third-party vendors only as directed and within assigned responsibilities.
● Support special projects related to lease-up, workflow development, document organization, and office procedures.
● Assist with implementation and consistent use of Propertyware and Tenant Turner.
Qualifications
● 2+ years of administrative, leasing, customer service, or property management support experience preferred.
● Residential leasing experience needed, commercial leasing optional
● Strong organizational and follow-up skills.
● Excellent written and verbal communication skills.
● Professional and welcoming customer-service demeanor.
● Ability to manage multiple priorities and deadlines.
● Strong attention to detail and accuracy in recordkeeping.
● Comfort working with property management software and digital document systems.
● Proficiency in Microsoft Office or Google Workspace.
● Familiarity with fair housing principles and confidentiality requirements preferred.
● Ability to handle sensitive information with discretion.
● Ability to follow SOPs, reporting and incident procedures.
Preferred Skills
● Experience with Propertyware and/or Tenant Turner software systems.
● Experience in lease-up environments.
● Experience supporting mixed-income or affordable housing operations.
● Comfort with digital file organization and workflow-based administrative systems.
Miscellaneous
The position is full time with benefits. Salary will be commensurate with experience.
The Leasing Administrative Coordinator will report directly to the Residential Manager.
