POSITION SPECIFICATIONS: Resource Coordinator, Non-Exempt

DEPARTMENT: Finance

REPORTS TO: Chief Financial Officer

SUPERVISES: N/A

PAY RANGE: $28-$32/hr

Basic Function:

The Resource Coordinator aids with a variety of basic human resource related, IT and Executive support duties. This role is pivotal in providing a seamless experience for new hires, ensuring smooth offboarding processes, managing workspace IT set-up, and troubleshooting technical issues.

Core Competencies:

The ideal candidate will have a passion for supporting employees, a strong understanding of IT fundamentals, and a flexible approach to handling various tasks and responsibilities including support to executive leadership within the organization.

Primary Role & Responsibilities:

Employee On/Off Boarding

Coordinate and facilitate onboarding processes for new hires, ensuring proper orientations, and ensuring they have the necessary tools, resources, and information for a smooth transition into their roles.
Set up accounts, permissions, files, and equipment for new employees including email, software applications, and hardware devices.
Develop and maintain onboarding checklists and documentation to streamline and enhance the onboarding experience.
Manage offboarding tasks, including deactivating accounts, collecting company assets, and securing data in line with company policies.
Conduct exit procedures to ensure compliance with IT security protocols and assist in knowledge transfer if necessary.

Employee Documentation Management

Oversee completion and filing of Forms W4 and I-9, verifying I-9 documentation, and maintaining onboard files.
Manage annual driving abstract collection, auto insurance policies, and harassment/cybersecurity training
Liaison to 3rd Party IT Company
Provide ongoing technical support and troubleshooting for employees, addressing issues related to hardware, software, network connectivity, and access.
Collaborate with external IT vendors when necessary to resolve issues beyond internal capabilities.

Workspace IT Setup and Troubleshooting

Set up and configure workspaces for employees, ensuring all necessary hardware (computers, monitors, docking stations) and software are operational.
IT Asset Management
Respond to ad-hoc support requests from employees regarding IT and workspace setup.
Assist in managing IT inventory, tracking company assets, and coordinating repairs or replacements as needed.
Executive Team Support
Assist with the preparation of the performance review process.
Assist with recruitment and interview process.
Complete special projects as needed.

Qualifications:

Familiarity with IT hardware and software setup, user account management, and common troubleshooting techniques.
Ability to anticipate needs, troubleshoot independently, and find efficient solutions.
Ability to handle sensitive data with confidentiality and a high level of discretion.
Strong organizational and communication skills; ability to manage multiple priorities effectively.
Friendly and approachable with a customer-service mindset.
Excellent time management skills with a proven ability to meet deadlines.
Ability to work autonomously and efficiently.
Proficient with Microsoft Office Suite or related software.
In-depth understanding of sourcing tools, like resume databases and online communities.
Familiarity with social media recruiting.

Physical/Sensory Requirements:

Ability to exert 20-50 pounds of force occasionally and/or 10-25 pounds of force frequently.
The employee is required to use hands and fingers for tasks and occasionally stand, walk, stoop, and reach.
Constant need to sit or stand and type, write, & grasp (working at a computer and answering phones)
