Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, effective communication, and a welcoming atmosphere for clients, visitors, and team members alike. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to keep everything running efficiently. Duties

Oversee daily office operations, including managing supplies, equipment, and facilities to ensure optimal functionality
Coordinate front desk activities such as greeting visitors, answering multi-line phone systems, and managing client communication with professionalism and courtesy
Maintain accurate data entry records using spreadsheets and productivity software; ensure all documentation is up-to-date and error-free
Utilize QuickBooks for basic bookkeeping tasks, invoicing, and expense tracking to support financial accuracy
Manage calendar schedules for executives and team members, including appointments, meetings, and deadlines with meticulous attention to detail
Provide administrative support through word processing, proofreading, and preparing reports or correspondence as needed
Supervise clerical staff and delegate tasks effectively to enhance overall office productivity while maintaining excellent phone etiquette and customer service standards

Qualifications

Proven experience in office management or administrative roles with a strong background in office experience and clerical functions
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry tasks
Technical proficiency with computer literacy including email management, document creation, and basic troubleshooting skills
Experience using QuickBooks or similar accounting software is highly desirable
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are a plus to facilitate effective communication with diverse clients and team members
Strong customer service skills combined with professional phone communication and phone etiquette
Personal assistant or front desk experience preferred to handle scheduling, client interaction, and administrative support seamlessly
