Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting team members, and fostering a welcoming atmosphere for visitors and staff alike. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an organized, productive workspace. This paid position offers an exciting opportunity to lead office functions while contributing to a positive and energetic workplace culture.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Oversee calendar management and scheduling for meetings, appointments, and events using productivity software and calendar tools.
Handle data entry tasks with accuracy using spreadsheets, word processing, and other Microsoft Office applications.
Maintain office supplies inventory, place orders as needed, and coordinate equipment maintenance to ensure operational readiness.
Support administrative functions such as filing, proofreading documents, and managing correspondence to uphold high standards of organization.
Assist with bookkeeping activities by utilizing QuickBooks or similar accounting software for expense tracking and invoicing.
Provide excellent customer service by supporting client communication efforts and addressing inquiries promptly.

Requirements

Proven experience in office management or administrative support roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy.
Experience with QuickBooks or similar financial management software is preferred.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
Strong phone communication skills coupled with professional phone etiquette.
Demonstrated ability to manage calendars, schedule appointments, and coordinate meetings seamlessly.
Previous experience in customer service or front desk roles that emphasize professionalism and responsiveness.
