FSU Procurement Services

Responsibilities

Responsible for planning and managing communications strategies and functions for Procurement Services, including vendor outreach training and customer service, campus end user communication and training. Manages the procurement website design and maintenance and updates policies and procedures. Responsible for building and maintaining reports utilized for tracking Procurement Performance Based Metrics. Serves as an ombudsman to help facilitate outstanding issues for departments as requested.
Responsible for developing and implementing comprehensive internal and external communications and training plans. Maintains multiple communications channels, including print materials, website, and various email listservs. Provides support and expertise to the Chief Procurement Officer, directors, and related staff in the creation of promotional assets related to Procurement Services. Responsible for the development and tracking of communications outreach. Assists with developing and circulating communications to campus including Procurement training and presentations.
Serves as the lead creator and editor for all Procurement communications materials and publications. Responsible for developing and maintaining the Procurement website, including content, graphics, and overall usability. Works with leadership to develop internal and external trainings, user guides, handbooks, and related materials. Documents business processes and provides recommendations for process improvements, including the development, monitoring, revision, and implementation of department policies and procedures. Responsible for building and maintaining reports utilized for tracking Procurement Performance Based Metrics. Gathers data and maintains reporting for campus constituents, senior leadership and Board of trustees related to key performance indicators. Responsible for department certifications, annual reporting and preparing Board of Trustees materials.
Manages the development and execution of departmental training related to procurement, pcard, and contract programs across campus. Connects with FSU departments to develop relationships and builds training and communications to enhance the end user’s knowledge, skill and ability. Serves as liaison with Procurement Services sections to provide internal consulting functions to identify and provide solutions to customer service gaps.
Collaborates with University Communications to provide information and resources to external parties on behalf of Procurement. Stays apprised of changes in University policies and practices regarding marketing standards to ensure compliance with procedures to optimize communications effectiveness. Provides support to the State University System initiatives as needed.
Represents Procurement and the University at supplier showcases, tradeshows, and similar community-based events to provide guidance on how to do business with the University. Serves as a point of contact for external party contacts/vendors for procurement activities.

Qualifications

Bachelor's degree and four years of experience related to media, communications, and/or marketing services; or a high school diploma/equivalent eight years of experience in the same. (Note: post-high school education can substitute for experience at the equivalent rate.)

Preferred Qualifications

Bachelor's degree and six years experience.
