Job Description

The Court Education Program Coordinator works independently, planning, coordinating, and implementing continuing education courses for judges and other State Courts System (SCS) personnel. The position is responsible for collaborating with planning committees, negotiating with hotels and vendors, reviewing contracts, preparing flyers/announcements, maintaining records, purchasing course supplies, preparing and shipping educational materials, serving as a registrar, and supervising compilation of program evaluations. Travel throughout the state is required to staff in person programs.

The primary duties of this position include, but are not limited to, the following:

Coordinate all hotel and onsite logistics, including contract execution, meeting space and room set-up based on program specifications and meeting space needs; on-site liaison with hotel staff; coordinate faculty audio-visual requests and procure audio-visual services; coordinate with faculty to determine room set-up needs; ensure available sleeping rooms for participants, faculty, and staff; acquire overflow hotels as necessary; arrange for on-site security; equipment transportation and set-up; ensure correct set up of meeting spaces; staff pre-conference meeting with hotel representatives.
Coordinate and distribute educational materials to attendees in collaboration with content leads; compile faculty biographical information and photos; create agendas; create and maintain Cvent Attendee Hub applications and participant website for assigned programs.
Create participant and faculty correspondence, program announcements, information sheets, application/registration forms, enrollment/waiting list letters, evaluation, receipts, On Arrival name badges, name tents, tracking charts; create and maintain event registration in C-vent, organize participant, faculty, and staff registration; maintain waiting lists for courses; design and transmit various course announcements; prepare registration packets; set up and troubleshoot On Arrival equipment used for check-in and badge printing; respond to inquiries concerning enrollment status, program dates, requests for materials; create and maintain attendee spreadsheet for assigned programs.
Prepare staff notebooks and documentation for committee meetings; handle logistics for faculty or committee meetings; obtain technical support for audio-visual equipment; provide supplies for faculty or staff use; coordinate participant evaluations.
Maintain internal office records, correspondence, and original materials files for courses and education programs; distribute materials to judges and other court personnel upon request; ensure final Cvent registration data is accurate after each program; compile registration and attendee reports upon request.

Education and Training Guidelines

Education

A bachelor’s degree in education, public administration, communications, or a closely related field.

Experience

Refers to the amount of related work experience that is recommended for entry into the position that would result in reasonable expectation that the person can perform the required tasks. Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.

Three years of related experience, with a preference for experience in meeting planning for large groups.
