Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties

Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
Assist with calendar management, scheduling appointments, and coordinating meetings for staff members
Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar tools
Provide exceptional customer support by responding promptly to inquiries via phone or email, ensuring client communication is clear and friendly
Handle clerical tasks such as proofreading documents, word processing, and managing office supplies to keep the workspace efficient and well-stocked

Qualifications

Proven experience in an office environment with strong office management and administrative skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Familiarity with QuickBooks or other bookkeeping software is preferred
Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
Strong computer literacy including typing speed, proofreading abilities, and technical proficiency in productivity software
Exceptional phone etiquette and experience managing multi-line phone systems in a professional manner
Bilingual abilities are a plus to enhance client communication and team collaboration
Previous experience as a receptionist, personal assistant, or medical/dental receptionist is highly desirable
Demonstrated ability to handle confidential information discreetly while maintaining high levels of accuracy and efficiency
