ABOUT THE ORGANIZATION AND THE OPPORTUNITY

The Statewide Guardian ad Litem Office is Florida’s award-winning, state-funded child advocacy organization that provides independent legal representation to abused, abandoned and neglected children in Florida’s dependency court proceedings. The Budget Office provides administrative support to all 20 judicial Circuits and State Office staff who work in the field. The Administrative Specialist will work under the general supervision of the Budget and Accounting Director and perform a variety of secretarial, administrative support, and clerical duties for and on behalf of the Budget and Accounting Director. The person hired for this position must exercise discretion with sensitive and confidential information. This is a part-time Other Personal Services (OPS) position that will work up to 20 hours per week in the Statewide Guardian ad Litem Office located at 111 W. Madison St.; Suite 674; Tallahassee, FL 32399.

ABOUT THE WORK

The Administrative Specialist will work with the Budget & Accounting Director to update various budgeting tools including the invoice tracker, grant certification forms and monthly travel.
The Administrative Specialist must be able to demonstrate proficiency in the use of personal computer applications such as Excel, Word, Adobe and Outlook. This position will be tasked with typing correspondence, preparing or updating reports and charts in Excel, scanning and submitting approved invoices to the Justice Administrative Commission, etc.
The Administrative Specialist must have transportation as he or she will be expected to regularly pick up mail from the Post Office and Accounts Payable checks from the Justice Administrative Commission.
The Administrative Specialist will routinely take deposits to the bank and return the deposit slip to the State Office Budget Analyst who manages the State and Foundation receivables.
The Statewide Office will reimburse the Administrative Specialist mileage, pursuant to State statute, for mail/check pick up activities performed on behalf of the Statewide Office and SGAL Foundation.
The administrative specialist may be expected to work both independently and under the guided supervision of the Budget and Accounting Director and MUST be able to exercise discretion in dealing with confidential and sensitive information.

EDUCATION AND TRAINING GUIDELINES

Must have a standard high school diploma or equivalent and two years of experience performing similar activities in a budget and accounting office environment. The years of experience requirement may be waived for candidates who have either completed or are pursuing a four-year college degree in the areas of Business, Accounting or Finance.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of administrative and clerical procedures and systems.
Some knowledge of or ability to learn accounting terminology
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Knowledge of computer software applications including Adobe, Outlook, Excel and Word.
Ability to talk to others and convey information.
Must have transportation that would allow you to perform errands for the Statewide Office when needed.
Ability to maintain confidentiality concerning sensitive information.
