Full Job Description

Job Overview
We are seeking a detail-oriented, two energetic Part-Time or one Full-Time Medical Office Specialist(s) to join our team in a fast-paced and growing Primary Care clinic. The ideal candidate will be the first point of contact at the front desk, providing a warm welcoming experience for our patients while addressing their concerns and requests by answering a multi-line phone system, scheduling/confirming appointments, scanning documents, and verifying insurance. This entry-level position plays a crucial role in ensuring the smooth operation of our office environment. This position requires strong organizational skills, proficiency in typing, operation of a computer, and excellent communication abilities. The perfect candidate will be a flexible problem-solving seeker, have strong attention to detail, the ability to multi-task with accuracy, be willing to learn in a fast-paced environment.

Minimum Qualifications

Minimum of High School Diploma or equivalent
Experience in a medical office or similar, preferred
Some commercial and/or Government Health Insurance knowledge, preferred
Part-time: Must be able to work August 2026 - May 2027 on Tuesdays/Thursdays 8am-5pm, one-to-two Fridays 9am-12pm, with occasional Monday or Wednesday afternoons, if needed.
Full-time: Must be available to work Monday - Thursdays 8am-5pm, with 1-2 Friday mornings, 9am-12pm
Ability to work well with others and under pressure
Computer proficiency; knowledge of Microsoft Office
Strong communication, written, interpersonal and organizational skills
Ability to articulate and communicate effectively in person, in email and on the phone
Ability to maintain confidentiality

Essential Functions of Position:

Prepare each patient’s check in forms and verify insurance the day prior to the scheduled appointment.
Patient Check-in/Check out: Greet patients professionally, update demographic, insurance and guarantor information, and manage patient flow to minimize wait times.
Phone Management: Answer multi-line phones to triage inquiries, take messages with high accuracy, communicate with clinical staff, and return patient's calls.
Scheduling: Schedule, cancel, reschedule appointments. Confirm patient appointments prior to the scheduled appointment date using EMR software.
Administrative Support: Scan documents and insurance cards, manage faxes, incoming patient emails, complete medical records requests and invoices, distribution of mail, verifying/updating patient's insurance, and other daily clerical tasks as specified by the office manager, while maintaining patient records in compliance with HIPAA regulations.
Financial Tasks: Collect and accurately apply patient's co-payments, co-insurance, deductibles, and patient balances at time of service, and balance daily cash drawers.
Clinical Liaison: Work closely with medical assistants and providers to ensure accurate information, clinic flow, and assisting with patient requests.
Environment Maintenance: Ensure the front desk area is clean and sanitized, organized, and professional.
