Position Summary: We are seeking a part-time Office Admin & Program Coordinator to support daily operations and lead camp programming at Pilgrim Heights. This role works closely with the Co-Directors to assist with administrative tasks, guest services, and event coordination, while also taking a lead role in planning and executing camp programs. The ideal candidate is organized, adaptable, and enjoys working in a fast-paced, community-focused environment.
Responsibilities (all responsibilities are carried out in support of and under the direction of the Co-Directors):
● Assist the Administrative Director with daily operations, including answering phone calls and emails, coordinating tours, scheduling appointments, and maintaining accurate records
● Coordinate tours and event final walkthroughs, taking detailed and efficient notes to clearly communicate guest needs to staff
● Greet visitors, provide information about the organization, and assist guests with needs and requests
● Support event execution, including setup based on final walkthrough notes, guest check in and assisting with special events
● Perform housekeeping support when needed and assist with overall property readiness
● Conduct outreach to local schools, businesses, faith communities, and organizations to promote retreats and events
● Manage social media accounts and contribute to marketing efforts
● Be on-call for guests outside of normal business hours, including some evenings (on-call rotation)
Camp & Program Leadership (under the direction of Co-Directors):
● Lead the planning and execution of age appropriate camp programming, including curriculum and daily activity schedules
● Support camp and program development, including creating and expanding offerings at Pilgrim Heights
● Coordinate all camp logistics, including registrations, health forms, packing lists, and communication with parents/guardians
● Recruit, support, and oversee volunteer counselors and program staff
● Assign cabin placements and assist in overseeing overnight camp operations alongside Co-Directors
● Monitor volunteer hours and assist with staff coordination
● Rotate with Co-Directors as part of the on-site contact for guest needs or emergencies
● Ensure safety procedures and policies are followed during all camp programming
● Assist in marketing and promoting programs and evaluate success based on participation
● Develop and coordinate additional programs and community events outside of camp schedules
● Support ongoing planning and development of camp programming and grounds in collaboration with Co-Directors
Qualifications:
● Bachelor’s degree preferred
● Previous experience in administration, customer service, or program coordination preferred
● Strong written and verbal communication skills
● Excellent organizational and multitasking abilities
● Ability to work independently and as part of a team in a fast-paced environment ● Proficiency in Google Suite, Wix, and Airbnb platforms preferred
● Experience with social media
● Valid driver’s license required
● Must pass a background check

Compensation:
● Hourly rate: $18.75 per hour a positive work environment
● Additional $1.00/hour premium for any hours worked while on-call
● 8 paid days off
● Bi-weekly pay via direct deposit with applicable taxes withheld
● 50% discount on all Pilgrim Heights services
Schedule Expectations:
● This position averages 25–30 hours per week, with a flexible schedule that shifts based on seasonal needs.
● Required availability during scheduled camp dates (Time off is not available during these time)
● Outside of camp weeks, schedules will be planned week-to-week in collaboration with the Co-Directors and may be adjusted as needed to accommodate both operational and personal needs
● On-call weekends responsibilities will be chosen/coordinated at the time of hire and will rotate on-call weekends with other staff
