Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support across multiple departments. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to foster a productive workplace. In this role, you will manage daily office functions, coordinate schedules, handle correspondence, and support client and team interactions with professionalism and enthusiasm. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant organizational culture.

Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
Oversee calendar management and scheduling for meetings, appointments, and events using productivity software and Google Workspace tools.
Perform data entry tasks with accuracy using spreadsheets, Word processing, and bookkeeping software such as QuickBooks.
Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records.
Provide exceptional customer service by assisting clients, vendors, and internal teams via phone communication and in-person interactions.
Support office management activities such as ordering supplies, coordinating maintenance requests, and managing office equipment.
Assist with clerical duties including proofreading documents, managing correspondence, and supporting administrative projects to enhance overall efficiency.

Qualifications

Proven experience in office administration or clerical roles with familiarity in office management practices.
Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and productivity software.
Experience with QuickBooks or similar bookkeeping programs is highly desirable.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Bilingual abilities are a plus to support diverse client and team communication needs.
Demonstrated customer service skills with professional phone etiquette and client communication expertise.
Knowledge of multi-line phone systems, data entry procedures, filing systems, and calendar management tools.
Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a bonus.
Strong typing skills along with proofreading abilities to ensure accuracy in all documents.
Ability to handle sensitive information discreetly while maintaining high levels of professionalism.
