Position Overview

Job Title: Administrative Assistant

Reports To: Center Director Location: Lightbridge Academy of Tampa - Westchase

We are seeking a highly organized, warm, and professional Administrative Assistant to serve as the first point of contact for our families and to support the daily operational success of our center. The ideal candidate will bridge the gap between our leadership team and our families, ensuring that every interaction reflects the "Circle of Care" philosophy that defines Lightbridge Academy.

Key Responsibilities

· Family Engagement & Front Desk Management:

o Greet all families, staff, and visitors with a professional and welcoming demeanor.

o Manage center inquiries (phone, email, and in-person) regarding enrollment, center tours, and program information.

o Facilitate the check-in/check-out process for students, ensuring security protocols are strictly followed.

· Operational & Administrative Support:

o Maintain accurate student and staff records in compliance with state licensing requirements and company policy.

o Assist the Center Director with enrollment paperwork, tuition billing, and account management.

o Monitor and manage supply inventories (office, classroom, and breakroom) and coordinate orders as needed.

· Center Coordination:

o Coordinate communication between parents, teachers, and administration.

o Assist in organizing center events, tours, and parent engagement activities.

o Ensure the reception area and common spaces remain organized, clean, and reflect the center's professional image.

· Regulatory Compliance:

o Assist in maintaining updated health, safety, and immunization records for all students.

o Ensure all visitors adhere to security policies, including sign-in procedures and background check requirements.

Qualifications

· Experience: Prior experience in an administrative or customer service role, preferably in an early childhood education or educational setting.

· Director Credentials: Candidates who possess a Florida Child Care and Education Program Director Credential (or equivalent state-recognized administrator certification) are highly preferred. Preference will be given to those who demonstrate experience in managing the day-to-day administrative functions of a licensed childcare facility.

· Communication: Exceptional verbal and written communication skills; ability to convey warmth and professionalism to diverse groups of people.

· Organization: Strong multitasking skills with the ability to remain calm and efficient in a fast-paced environment.

· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel) and comfort using digital management/CRM software.

· Compliance: Deep knowledge of Florida state childcare licensing regulations and Voluntary Prekindergarten (VPK) provider requirements.

· Character: A passion for supporting early childhood development and a commitment to maintaining a positive, supportive culture for staff and families.
