Full Job Description

Position Summary

This role serves as a key business partner to the Sales team by providing administrative support, maintaining data integrity, generating analytical reports from HubSpot, and helping leadership make informed business decisions. The ideal candidate thrives in a fast-paced environment, possesses exceptional analytical skills, and enjoys working with data to identify trends, improve processes, and drive operational excellence.

Key Responsibilities

Provide administrative support to the Sales Leadership team and Sales Representatives.
Generate daily, weekly, and monthly sales reports and dashboards using HubSpot.
Analyze sales performance, pipeline activity, forecasting, and key performance indicators (KPIs).
Maintain the accuracy and integrity of customer, prospect, and opportunity data within HubSpot.
Monitor sales pipeline health and identify discrepancies or data quality issues.
Prepare executive-level reports and presentations using sales data and business insights.
Assist with sales forecasting and territory performance reporting.
Support contract administration, pricing documentation, and sales documentation management.
Coordinate internal communication between Sales, Marketing, Finance, and Operations.
Track sales activities, customer follow-ups, and key deadlines.
Assist with commission reporting and sales performance metrics.
Create and maintain standardized reporting templates and documentation.
Identify opportunities to improve sales processes through automation and workflow enhancements.
Support special projects and strategic initiatives assigned by Sales Leadership.

Required Qualifications

Bachelor's degree in Business Administration, Finance, Analytics, Information Systems, or a related field preferred.
2–5 years of experience in administrative support, sales operations, business analysis, or a similar role.
Advanced proficiency with Microsoft Excel, including PivotTables, formulas, charts, and data analysis.
Experience using HubSpot CRM with the ability to build reports and dashboards.
Strong analytical and problem-solving skills with exceptional attention to detail.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Ability to prioritize multiple projects while meeting deadlines.
High level of professionalism and confidentiality.
Experience supporting a SaaS or healthcare technology sales organization.
Knowledge of CRM administration and reporting best practices.
Experience creating executive dashboards and business performance reports.
Familiarity with sales forecasting and KPI reporting.
Experience with Microsoft Power BI or similar business intelligence tools is a plus.
