Full Job Description

Practice Administrator,

Cardiology private practice group in the north Tampa, (USF area) is looking for a Practice Administrator to coordinate and execute day to day operational functions for the medical practice. This includes financial oversight (billing, insurance administration, budgeting, accounting), scheduling, hiring, training, and managing staff. Experience managing a growing multi-physician practice management is a requirement.

Essential Functions:
Patient Experience
Oversees successful new patient onboarding, patient experience, and ongoing patient satisfaction with the administrative aspects of the practice.
Maintains the overall professional image of the office.

Insurance Administration
Oversees and completes appropriate paperwork to comply with insurance and reimbursement guidelines; oversees pre-auths., appeals, and denials; ensures all documentation and paperwork is completed within time constraints posed by various entities.
Oversees and executes billing, claims, coding and collections.

Accounting & Financial Management
Prepares daily deposits, post financial data, and reconcile, as necessary.
Works accounts receivable and accounts payable.
Tracks and pays medical office bills.
Processes patient/insurance collections.

Staff Management
Supervises practice staff of approximately 12 people.
Hires, trains, and terminates staff.
Establishes a high performance work environment to enhance employee engagement and successful completion of practice objectives.
Maintain practice schedule.
Collaborates with the CEO and all staff to establish policies, procedures, job descriptions and SOPs (Standard Operating Procedures) for practice operations.
Effectively communicates practice policies and procedures to employees to maintain compliance.
Ensures each employee understands their job description, the desired results associated with their work, and the resources available to achieve the results.
Reviews and corrects timesheets, process payroll (bi-weekly) and manage time off documentation.

Office Administration
Ensures compliance with standards, laws and regulations as directed by regulatory and accrediting organizations such as, but not limited to: ACHA, OSHA, HIPAA, HR, local, state and federal governments as it pertains to a medical practice.
Maintain medical records.
Orders medical and office supplies and maintains proper inventories.
Coordinates computer maintenance, software updates and backups in collaboration with the CEO.
Handles all general office matters including, but not limited to, office equipment, building keys, access to computer systems, furniture, cleaning service, biohazard collection, laundry service, and vendors.
Handles credentialing issues.
Review insurance matters and coverages for practice and communicate with brokers/agents as needed.
Provides consistent daily, weekly and monthly communication to the CEO, as required, ensuring that information, reports, and materials are provided, to clearly describe practice activities and progress toward agreed upon objectives and priorities.
Other duties as assigned.

Skills, Knowledge, and Abilities
Bachelor’s Degree in health, business administration, other relevant field or equivalent experience, required. Preferred
Associates Degree, required
Experience in the medical group practice environment.
Needs to know ACA, HIPAA, St. Regulations, etc.
Proficient experience in compliant coding guidelines, reimbursement procedures, medical records management, and effective practice operations.
Practical knowledge and experience in working with practice management software systems with the ability to direct workflow in order to optimize operations.
Experience working with Electronic Health Records (EHR) systems.
Experience with budgetary finance and accounting skills with regards to practice management and operations.
Ability to effectively work with and through physicians, patients, and other personnel in a cooperative, collaborative manner to maintain high patient satisfaction.
Ability to work and adapt in a fast paced, patient service-oriented environment.
Ability to promote quality improvement through maintenance of professional and ethical standards.
