Job Summary
Deal Me Slabs is seeking a highly organized, dependable, and detail-oriented Administrative Assistant to support the day-to-day operations of our growing sports card business.
This position will work closely with ownership, operations, buyers, and other team members to help keep company travel, card shows, commissions, documentation, inventory supplies, and administrative responsibilities organized and on schedule.
The ideal candidate is proactive, comfortable managing multiple projects at once, and able to work independently without needing constant direction. Because our business involves frequent travel, card shows, buying and selling inventory, and multiple team members, strong organization and follow-through are essential.
This is a full-time position averaging approximately 30–40 hours per week and is structured as a 1099 independent contractor role.
Key Responsibilities
- Travel Booking & Coordination
- Research and book flights, hotels, rental vehicles, and other company travel.
- Compare travel options and pricing while considering schedules, convenience, and company budgets.
- Coordinate travel arrangements for ownership and company team members.
- Travel Itineraries
- Create clear and organized itineraries for company trips and card shows.
- Maintain confirmation numbers, hotel information, flight schedules, rental car details, show schedules, and other important travel information.
- Communicate itinerary changes and updates to the appropriate team members.
- Card Show Research & Booking
- Research upcoming sports card shows and industry events.
- Assist in determining which shows may be beneficial for the company to attend.
- Communicate with show promoters regarding availability, pricing, table locations, dealer requirements, and event details.
- Complete show registrations and table bookings as approved.
- Maintain an organized calendar of upcoming shows, deadlines, travel dates, and event information.
- Company Commission Tracking
- Track employee and contractor commissions accurately.
- Maintain organized spreadsheets and records of commissions earned and paid.
- Work with management to ensure commission information is updated and accurate.
- Assist with preparing commission information for scheduled payouts.
- SOP & Process Support
- Assist management with creating, updating, and organizing company Standard Operating Procedures (SOPs).
- Help document recurring company processes so expectations and procedures are clear for team members.
- Maintain organized digital folders containing company policies, procedures, forms, and operational documents.
- Inventory & Office Supplies
- Monitor inventory of necessary business and shipping supplies.
- Order approved supplies before inventory reaches critical levels.
- Help source supplies and compare vendors and pricing when appropriate.
- Maintain organized records of recurring company supply purchases.
- Administrative Support
- Maintain company spreadsheets, calendars, documents, and digital files.
- Assist ownership and operations with scheduling, reminders, research, and follow-up.
- Perform data entry and maintain accurate company records.
- Assist with company communications and administrative projects as needed.
- Help identify deadlines and outstanding tasks to ensure important responsibilities are completed on time.
- Support additional administrative and operational needs as the company continues to grow.
Qualifications
- Previous administrative, office management, executive assistant, or operations experience preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple projects, deadlines, and responsibilities simultaneously.
- Strong written and verbal communication skills.
- Comfortable researching travel, events, vendors, and business-related information online.
- Proficient with spreadsheets, email, calendars, and cloud-based document management.
- Experience with Google Workspace, Microsoft Office, QuickBooks, or similar business software is a plus.
- Ability to work independently, take initiative, and follow through on assigned responsibilities.
- Comfortable working in a fast-paced small-business environment where priorities may change.
- Experience with sports cards, collectibles, e-commerce, or the sports card industry is a plus but not required.
Schedule & Compensation Structure
- Full-Time: Approximately 30–40 hours per week.
- 1099 Independent Contractor Position.
- Compensation will be discussed based on experience and qualifications.
- Accrual-Based PTO: Paid time off will accrue based on the company's established PTO policy.
- Some flexibility may be required during major card shows, company travel, or other high-volume periods.

Pay: $20.00 - $25.00 per hour
