Full Job Description

We are a reputable Real Estate and Business Law firm based in Florida seeking an experienced Intake Specialist/Legal Receptionist to join our team. As the first point of contact for prospective clients, you will set the tone for every new client relationship.

This is a fully remote position, but candidates must reside in Florida. We give preference to applicants located in the Tampa area, and we welcome qualified candidates from anywhere in the state.

This role requires prior experience as a receptionist or intake specialist in a law firm. Real estate legal experience is strongly preferred. Callers frequently ask about closings, title work, contracts, purchase and sale agreements, and deed transfers, often using terminology they picked up from a realtor or lender. You should be able to recognize what a caller is describing, ask informed follow-up questions, and get the matter to the right attorney. We are looking for someone who already has this fluency rather than someone who will build it here.

Responsibilities:

Answer and return calls promptly from prospective clients in a professional and friendly manner.
Conduct initial intake, gathering the details our attorneys need to evaluate a matter.
Recognize common real estate and business law issues well enough to ask informed follow-up questions and identify the type of matter a caller is describing.
Communicate the firm's services clearly and guide prospective clients through the engagement process, signing them up over the phone where appropriate.
Maintain accurate and detailed records of client interactions and appointments.
Collaborate with attorneys and support staff to ensure a seamless intake process.

Requirements:

Florida residency is required. Tampa area strongly preferred.
Prior experience as a receptionist, intake specialist, or legal assistant in a law firm setting.
Working familiarity with real estate legal terminology and the general flow of a residential or commercial closing.
Excellent verbal communication skills in English; Spanish proficiency is a plus.
Friendly and personable demeanor, with a customer-centric approach.
Comfortable and confident on the phone.
The ability to communicate the value of our services and convert inquiries into signed clients.
Strong organizational skills and attention to detail.
Reliable home office setup, including high-speed internet and a quiet space for client calls.
