About the Role

The Operations Specialist supports the day-to-day operations of multiple sites by providing administrative support, front office coverage, and basic facilities coordination. This role ensures efficient operations and a consistent, high-quality experience for patients, staff, and visitors.

Key Responsibilities

Provide administrative support, including document preparation, filing, data entry, and multi-line phone coverage

Greet and assist patients, clients, and visitors, ensuring a professional and welcoming environment

Support front office operations, including scheduling, patient flow, and reception coverage as needed

Maintain a safe, clean, and organized environment, including basic facility upkeep and minor maintenance

Assist with office moves, furniture setup, and equipment installation

Manage inventory and supplies, including ordering, tracking, and coordinating shipping and receiving

Oversee mail distribution, specialty printing, and company vehicle/fleet coordination

Travel between locations as needed to support operational and site needs

Qualifications

High School Diploma or equivalent required

Prior experience in reception, administrative support, or general maintenance preferred

Experience in a healthcare or non-profit environment preferred

Proficient in Microsoft Office with the ability to quickly learn new systems

Strong customer service, communication, and organizational skills

Ability to adapt to changing priorities and work independently in a fast-paced environment

Ability to lift up to 50 lbs. as needed to support operational functions

Valid Florida driver's license, proof of insurance, and reliable transportation

Must pass Level II background check, fingerprinting, and E-Verify employment eligibility
