About the Position

UDREAM EVENTS is hiring a Special Events Assistant to join our internal events team.

This is a direct-hire position with UDREAM EVENTS. The Special Events Assistant will work directly with and report to our Event Managers, providing administrative and event support for events managed by our company.

This is an excellent opportunity for someone who is organized, professional, and interested in building a career in event planning and hospitality. The ideal candidate enjoys working with people, pays close attention to detail, and is comfortable balancing office responsibilities with occasional on-site event support.

The position will begin as an hourly role with the opportunity for increased responsibilities and advancement based on performance and business needs.

Anticipated Start Date: By October 2026

Responsibilities

As a Special Events Assistant, you will support our Event Managers with the day-to-day coordination and administration of events.

Responsibilities include:

· Assist with client phone and email communication

· Schedule client meetings, consultations, and venue walkthroughs

· Assist Event Managers with client meetings and site visits

· Maintain event files, client information, and planning documents

· Assist with event timelines, layouts, logistics, and production details

· Create event inspiration boards and visual presentations

· Assist with vendor communication and event-related coordination

· Provide administrative and organizational support to the events team

· Assist with occasional marketing and event content projects

· Provide on-site support during scheduled events as needed

· Assist with event setup and breakdown when required

Qualifications

We are looking for a candidate who:

· Has at least 1 year of experience in administration, hospitality, event planning, or a related field

· Is highly organized and detail-oriented

· Communicates professionally both verbally and in writing

· Provides excellent customer service

· Can manage multiple priorities and deadlines

· Takes initiative and is comfortable solving problems independently

· Works well both independently and as part of a team

· Is comfortable learning new software and systems

· Maintains professionalism in a fast-paced environment

· Is dependable and committed to providing a high level of service

· Preferred Qualifications

· Previous event planning, hospitality, or administrative experience

· Proficiency in Microsoft Outlook, Word, and Excel

· Experience using Canva

· Experience with CRM or event management software is a plus

· Valid driver's license and reliable transportation

· Ability to occasionally lift up to 40 pounds

· Ability to stand and walk for extended periods during on-site events

Schedule

Standard office hours are Monday through Friday, 9:00 a.m. to 5:00 p.m.

This position is primarily office-based at our Largo, Florida office and includes occasional on-site event shifts in the Tampa Bay area.

Because events may take place outside standard business hours, some evening and weekend availability will be required. Adjustments to weekday hours may be made when working scheduled events.

Hybrid work opportunities may be available based on job responsibilities and performance.

Compensation & Benefits

Starting Pay: $20.00 per hour

Compensation will be reviewed following the successful completion of the 90-day introductory period, with opportunities for continued professional growth and advancement within UDREAM EVENTS.

The Special Events Assistant will be a member of the UDREAM EVENTS team and will work directly with our Event Managers to support the events and clients managed by our company.
