The Vietnam Veterans Memorial Program Coordinator/Administrative Services Coordinator fulfills the duties of the position by providing direct administrative, operational, and programmatic support to the Memorial's daily activities and long-term initiatives. This is accomplished through coordinating special projects, processing purchase requests and procurement activities, maintaining records and inventories, assisting with budget-related documentation, and ensuring compliance with departmental policies and procedures. The position researches, documents, catalogs, and authenticates historical artifacts and donations, coordinates the acquisition and placement of exhibits, and assists the Memorial Supervisor with maintaining accurate records of collections and donor information. The coordinator assists with planning and executing ceremonies, educational programs, community outreach events, and special activities by coordinating logistics, communicating with participants, and supporting event operations.

This is accomplished through coordinating special projects, processing purchase requests and procurement activities, maintaining records and inventories, assisting with budget-related documentation, and ensuring compliance with departmental policies and procedures. The position researches, documents, catalogs, and authenticates historical artifacts and donations, coordinates the acquisition and placement of exhibits, and assists the Memorial Supervisor with maintaining accurate records of collections and donor information. The coordinator assists with planning and executing ceremonies, educational programs, community outreach events, and special activities by coordinating logistics, communicating with participants, and supporting event operations.

In addition, the position works closely with the Memorial Supervisor, landscaper, volunteers, veterans¿ organizations, and contractors to support the care and presentation of the Memorial grounds, museum, chapel, exhibits, and visitor facilities. Responsibilities include assisting with facility inspections, identifying maintenance needs, supporting grounds and building upkeep, monitoring supply levels, maintaining inventories, and ensuring public areas remain safe, clean, and welcoming. Through effective communication, organization, research, customer service, and collaboration, the position helps preserve the history and legacy of the Vietnam Veterans Memorial while providing exceptional service to veterans, their families, and visitors from around the world.

The Administrative Services Coordinator also assists with maintenance of 25,000 square feet of sidewalks, more than 10,000 bricks along the Veterans Walkway, three parking lots, 9.5 acres of grounds, a 9,000 square foot museum, and three public restrooms. Staff also support snow removal, weed control, landscaping, facility upkeep, event operations, and overall visitor safety and cleanliness year-round. The addition of the half scale Vietnam Veterans Memorial Wall has expanded public use areas requiring ongoing maintenance and support. Future growth, including a overflow parking lot and additional landscaped grounds, will further increase staff responsibilities.

Minimum Qualification

Associate's Degree and two (2) years of experience program administration or project management in areas related to the purpose of the position. Any combination of education and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience.
Employment Requirements

Sitting, standing, bending, and reaching required. Voluntarily carry Department issued cellular phone for official use without compensation. Subject to recall during disasters and other emergencies. Work on weekends, holidays and shift work may be required. This position will be required to assist with grounds maintenance and will work in inclement weather.

Work is performed in a variety of settings, including administrative offices, museum exhibit areas, memorial grounds, and outdoor public spaces. The position requires frequent use of computers, telephones, printers, scanners, and other office equipment, as well as operation of grounds maintenance equipment and hand tools. The employee may be required to stand, walk, bend, reach, lift, and carry materials, supplies, artifacts, and equipment for extended periods. Duties are performed year-round and may involve exposure to varying weather conditions, including heat, cold, wind, rain, snow, and high-altitude environments. The position may require occasional travel, flexible scheduling, and work during evenings, weekends, holidays, and special events to meet operational needs and support Memorial programs and activities.
Working Conditions

Work is usually performed in an office setting, with extensive exposure to Visual/Video Display Terminal (VDT), personal computer, tablet, printer, calculator, cellphone, copy machine, scanner, keyboard, and telephone usage. Occasional travel, working extra hours, working on weekends and holidays.
