Williams Air Solutions is looking for an Administrative Professional / Office Coordinator to help keep our daily operations running smoothly. This is an important front-office role supporting scheduling, technician coordination, customer communication, CRM accuracy, invoicing, permits, inspections, and overall office organization.

We are not looking for “just a receptionist.” We are looking for someone dependable, organized, detail-oriented, and confident handling a fast-moving service environment.

The ideal candidate will have previous experience working in the construction or home-service industry, such as HVAC, electrical, plumbing, general construction, remodeling, roofing, or a similar field. You don't necessarily need to be an HVAC expert—but you should understand how a service or construction business operates and be comfortable working with technicians, customers, vendors, job records, materials, and deadlines.

What you’ll do

Manage technician scheduling and dispatch coordination
Update and maintain customer and job information in the CRM
Review technician reports and follow up on missing or incomplete entries
Answer phones and emails and route inquiries appropriately
Send appointment confirmations, thank-you notes, and customer communications
Monitor social media messages/comments and escalate qualified leads
Review purchase orders and material invoices and forward them for approval
Coordinate inspections and submit permits with municipalities
Maintain digital and physical filing for permits, invoices, and job records
Assist with invoicing workflows and communicate with accounting on discrepancies
Prepare basic reports on scheduling, job status, and office activity
Complete technician end-of-day checkouts including timecards, materials used, and job notes
Help maintain organized records and accurate data across office systems

What we needMust have:

1–3 years of administrative, office coordination, or customer service experience
Previous work experience in the construction or home-service industry, including HVAC, electrical, plumbing, general construction, remodeling, or a similar field
Strong organization and time-management skills
Clear written and verbal communication
Comfort working with CRM systems, spreadsheets, email, and office software
Ability to multitask and stay accurate in a fast-paced environment
Professional, courteous attitude with customers and team members

Nice to have:

HVAC, home service, or dispatch experience
Previous experience working in an HVAC, electrical, plumbing, general construction, remodeling, or other construction-related office
Experience with invoicing, billing, or purchase orders
Familiarity with permitting or inspections
Experience in a service-based business environment

Schedule

This is a full-time, on-site position.

Typical workflow includes:

Mornings: scheduling, CRM updates, customer communication, social media monitoring

Afternoons: purchase orders, invoicing, permits/inspections, reporting, technician checkout

Core hours may be:

8:00 AM–12:00 PM and 1:00 PM–5:00 PM
