Position Summary
We are seeking a hands-on Human Resources professional to take ownership of the company’s benefits and leave management programs while supporting a broad range of HR functions across our organization. This is a key role on a small, collaborative two-person HR team and is ideal for someone who enjoys wearing many hats, working directly with employees and managers, and taking ownership of important HR processes.
The primary focus of this position will be benefits administration and leave management, including serving as the company’s subject-matter expert and primary point of contact for employee leaves, benefits programs, and related compliance requirements.
This role will also work closely with the Payroll Specialist and provide backup support for payroll and other HR responsibilities as needed. The ideal candidate has strong hands-on experience managing employee leaves, is highly organized and detail-oriented, communicates effectively with employees at all levels, and is comfortable working in a fast-paced environment where flexibility and teamwork are essential.
Key Responsibilities
Benefits Administration
- Take ownership of the company’s health, dental, vision, and other employee benefit programs.
- Manage day-to-day benefits administration, including enrollments, qualifying life events, changes, and employee questions.
- Lead the annual benefits open enrollment process and coordinate communications across all locations.
- Serve as the primary point of contact for employees regarding benefit questions and issues.
- Work with insurance brokers, benefit vendors, and third-party administrators to resolve issues and ensure effective program administration.
- Review benefit plan information, renewal materials, and costs and assist leadership with evaluating plan options.
- Monitor integrations between payroll and benefits systems and work with vendors to resolve discrepancies or issues.
Leave Management & Compliance
- Take primary ownership of all employee leave management, serving as the internal subject-matter expert for leave-related matters.
- Administer employee leave programs in accordance with federal, state, and local requirements, including FMLA, ADA-related leave and accommodations, and other applicable statutory and company leaves.
- Manage the leave process from initial request through return to work, ensuring employees and managers receive timely and appropriate communication.
- Maintain accurate and confidential leave records and documentation.
- Track leave eligibility, usage, certifications, deadlines, and required communications.
- Partner with employees, managers, medical providers, third-party administrators, and other stakeholders as appropriate to ensure leave matters are handled consistently and appropriately.
- Stay current on changes to federal, state, and local leave requirements and communicate relevant changes to leadership.
- Work with the Safety Manager on workplace injuries, workers’ compensation matters, and return-to-work plans to ensure proper coordination between safety, leave management, and compliance.
- Provide backup support to the Safety Manager during absences when needed, including ensuring injury and accident documentation is completed accurately and timely.
401(k) Administration
- Coordinate day-to-day administration of the company’s 401(k) plan with the plan provider and third-party administrator.
- Monitor plan-related deadlines and required communications.
- Assist with the annual 401(k) audit by gathering documentation and coordinating information requests with auditors and plan providers.
- Respond to employee questions and assist with resolving plan administration issues.
Payroll Support
- Work closely with the Payroll Specialist to support accurate and timely weekly payroll processing.
- Provide backup coverage for the Payroll Specialist during absences or as needed, including assistance with payroll-related data entry, employee changes, and payroll inquiries.
- Assist with ADP Workforce Now administration and employee data updates.
- Help research and resolve discrepancies between payroll, benefits, and employee records.
- Develop a strong working knowledge of payroll processes to provide effective backup support.
HR Support & Employee Relations
- Serve as a trusted HR resource for employees and managers across all company locations.
- Provide guidance on HR policies, benefits, leave, and other employee-related questions.
- Support employee relations matters, workplace concerns, and investigations as appropriate.
- Assist with onboarding and offboarding processes, ensuring required documentation and system updates are completed accurately and timely.
- Support managers and employees with HR processes and policy questions.
- Maintain confidentiality and professionalism when handling sensitive employee matters.
- Assist with other HR projects and responsibilities as needed.
HR Technology & Process Improvement
- Identify opportunities to improve HR processes, systems, and employee communications.
- Help maintain accurate employee information across HR and benefits systems.
- Support effective use of HR technology, including ADP Workforce Now.
- Look for opportunities to improve efficiency, automation, documentation, and the overall employee experience.
- Take ownership of assigned HR projects and follow them through to completion.
Qualifications
- 5+ years of hands-on HR experience, with strong experience in benefits administration and employee leave management.
- Demonstrated experience managing leaves of absence, including FMLA, ADA-related leave/accommodations, and applicable state and local leave requirements.
- Strong working knowledge of benefits administration and employee benefit programs.
- Experience working in a multi-state environment is strongly preferred.
- Experience with ADP Workforce Now is strongly preferred.
- Payroll experience or familiarity with payroll processes is preferred, with the ability and willingness to provide backup support to the Payroll Specialist.
- Bilingual in English and Spanish is highly preferred; the ability to communicate, write, and present materials in both languages is a strong asset.
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification is preferred.
- Excellent verbal and written communication skills.
- Proven ability to handle sensitive employee matters with professionalism, discretion, and confidentiality.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities, meet deadlines, and independently take ownership of important HR processes.
- Comfortable working in a small, hands-on HR team where flexibility and a willingness to wear many hats are essential.

The person in this role will become the go-to resource for benefits and leave management, ensuring employees receive timely, knowledgeable support and that the company’s programs and processes are administered accurately and compliantly.
