Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and keen attention to detail will help foster an efficient, welcoming environment. Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
Maintain organized filing systems—both physical and digital—and ensure all documents are properly proofread and up-to-date
Support office management by coordinating calendar appointments, scheduling meetings, and managing calendar updates efficiently
Provide excellent customer service by assisting clients or patients promptly and courteously in person or over the phone
Perform clerical tasks such as photocopying, faxing, mailing, and managing office supplies inventory
Assist with personal or medical receptionist duties as needed, including appointment scheduling and patient check-ins

Experience

Previous office experience or administrative support roles demonstrating strong organizational skills and computer literacy
Familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks is highly desirable
Bilingual ability is a plus for supporting diverse client needs
Proven experience in customer service or customer support environments emphasizing professionalism and excellent communication skills
Experience with data entry, filing systems, proofreading documents, and managing calendars efficiently
Prior roles such as dental or medical receptionist or personal assistant experience will be considered advantageous
Strong time management skills with the ability to prioritize tasks effectively in a busy office setting
