Full Job Description

Job Summary
We are seeking a dynamic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient workplace environment. This role is vital in managing administrative functions, coordinating communication, and supporting team productivity. The ideal candidate will be proactive, detail-oriented, and possess excellent interpersonal skills to foster a positive office atmosphere. As an Office Manager, you will serve as the backbone of our administrative team, ensuring all processes run seamlessly and effectively.

Duties

Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a professional reception area.
Oversee phone systems, directing calls efficiently and providing exceptional customer service.
Maintain accurate records through data entry, filing, and document proofreading to support administrative workflows.
Utilize software such as Microsoft Office, Google Workspace, and QuickBooks for scheduling, bookkeeping, and document management.
Coordinate calendar management and appointment scheduling for staff members.
Provide clerical support such as typing correspondence, managing emails, and ensuring proper phone etiquette.
Assist with bookkeeping duties, including invoicing and expense tracking, utilizing QuickBooks or similar tools.
Ensure excellent customer support by addressing inquiries promptly and professionally across various channels.

Qualifications

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks accounting software.
Excellent computer literacy with the ability to manage multiple software platforms efficiently.
Strong clerical experience including data entry, filing systems, proofreading documents, and maintaining accurate records.
Exceptional customer service skills with professional phone etiquette and experience handling multi-line phone systems.
Ability to multitask effectively while managing time efficiently in a fast-paced environment.
