Job Summary
We are seeking a friendly and organized Front Desk Receptionist to join our team. This role is essential in providing excellent customer service and ensuring the smooth operation of our front office. The ideal candidate will possess strong communication skills, be proficient in various office software, and have experience in administrative tasks. As the first point of contact for clients and visitors, you will play a key role in creating a welcoming environment.

Responsibilities

Greet and assist clients and visitors as they arrive, ensuring a positive first impression.
Manage incoming calls using phone systems, directing calls to the appropriate personnel or taking messages as needed.
Schedule appointments and maintain an organized calendar for staff members.
Perform administrative tasks such as filing, data entry, and maintaining records.
Utilize for basic bookkeeping tasks when necessary.
Proofread documents to ensure accuracy and professionalism before distribution.
Assist with general office duties to support team members as required.
Maintain a clean and organized clinic.
Verify insurance eligibility and setup patients portal.
Post content on social media.

Skills

Strong customer service skills with the ability to handle inquiries and resolve issues effectively.
Excellent proofreading abilities to ensure high-quality documentation.
Strong time management skills to prioritize tasks effectively in a fast-paced environment.
Experience with medical receptionist duties is a plus but not required.
Familiarity with administrative functions such as filing and managing office supplies.
Ability to work collaboratively as a personal assistant to support team members when needed.

Qualifications

1. Customer Service & Communication Skills

Excellent verbal and written communication.
Friendly and professional demeanor.
Ability to handle difficult patients or situations with empathy.

2. Scheduling & Office Management

Experience with electronic medical records (EMR) systems (PromPT,).
Proficiency in appointment scheduling & calendar management.
Managing cancellations, rescheduling, and reminders.

3. Insurance Verification & Billing

Understanding of insurance verification (PPO, Medicare).
Basic knowledge of copays, deductibles, and authorizations.
Familiarity with medical billing software (optional but helpful).

4. Multitasking & Organization

Ability to handle multiple phone lines, emails.
Efficient paperwork processing and patient intake.
Managing office supplies and cleanliness.

5. Basic Medical Knowledge (Required)

Understanding of common PT terminology.
Knowledge of HIPAA regulations.
Ability to triage patient needs and communicate with therapists.

6. Technical & Administrative Skills

Proficiency in Microsoft Office (Word, Excel, Outlook).
Comfort with scanning, faxing, and electronic filing.
Data entry accuracy and speed.
