Full Job Description

Job Overview
The Operations Support Specialist plays a key role in supporting the execution of customer orders and internal processes from quote through fulfillment. This position works closely with sales, procurement, project management, and warehouse teams to ensure customer requests, orders, documentation, and follow-up activities are completed accurately and on time.

This is an operations-focused administrative support role. The ideal candidate enjoys working behind the scenes to keep processes moving, is comfortable learning and navigating multiple technology platforms, and thrives in a fast-paced environment where priorities can change throughout the day.

We are looking for someone who is highly organized, detail-oriented, comfortable working with data and technology, and naturally takes ownership of tasks through completion. Experience in telecommunications, technology, order processing, logistics, or another high-volume operational environment is especially valuable.

Minimum Qualifications

2+ years of experience in administrative support, order processing/order entry, operations, customer support, or a similar coordination-focused role
Bachelor's degree in business, marketing and/or related field preferred
Experience working in a fast-paced environment with competing priorities, deadlines, and frequent interruptions
Strong technology aptitude with the ability and interest to quickly learn new software, systems, and workflows
Experience with data entry, order entry, CRM, ticketing, ERP, inventory, quoting, or similar business systems preferred
Strong administrative and organizational skills with the ability to manage multiple priorities and deadlines
Strong attention to detail and commitment to accurate, high-quality work
Proficient in Microsoft Word and Excel
Experience in telecommunications, technology, carrier services, or a related industry preferred
Strong written and verbal communication skills
Ability to identify discrepancies, follow established processes, and independently research information needed to move work forward
Ability to work independently while collaborating effectively across multiple departments

Responsibilities

Track and monitor open sales quotes and communicate with customers regarding pending information, questions, or next steps
Assist with processing customer orders received from the sales team, including reviewing purchase orders and entering required information into internal systems
Monitor, track, and update orders placed with the procurement team to ensure statuses, documentation, and customer communications remain accurate and timely
Assist with entering quotes into quote management software and sending completed quotes to customers as needed
Follow up with customers after quotes are sent to confirm receipt and coordinate responses to questions or concerns
Support lead-generation projects as needed by assisting with the administrative and operational execution of sales initiatives
Proactively manage vendor pricing agreements by monitoring expiration dates, pricing changes, quantity requirements, and upcoming renegotiation needs
Assist with inventory management by assisting in monitoring inventory levels in relation to current sales orders and available stock
Assist in ensuring inventory orders are placed accurately and cost-effectively based on anticipated needs and current stock levels
Partner with project management and warehouse teams on multi-location customer rollouts, ensuring, orders, documentation, and tasks are processed accurately and on time
Assist with additional operational and administrative projects as needed to support customer order execution and internal business needs
