Full Job Description

Job Summary
We are seeking a dynamic and organized Surgical Scheduler and Office Administrator to join our healthcare team. In this vital role, you will coordinate surgical procedures, manage patient appointments, and oversee daily office operations to ensure a seamless experience for both patients and staff. Your proactive approach and attention to detail will help optimize clinic efficiency, enhance patient care, and support the smooth functioning of our medical practice. This position offers an exciting opportunity for a motivated individual with strong administrative skills and a passion for healthcare.

Responsibilities

Schedule surgical procedures, consultations, and follow-up appointments using EMR (Electronic Medical Record) systems
Verify insurance coverage and payment, perform insurance authorization.
Maintain accurate medical records by reviewing documentation for completeness and compliance with HIPAA regulations.
Manage patient intake processes, including collecting medical history, updating demographic information, and ensuring proper documentation review.
Coordinate with physicians, surgical teams, and support staff to facilitate efficient scheduling and communication of care plans.
Handle phone inquiries with excellent phone etiquette, providing clear information and directing calls appropriately on multi-line phone systems.
Maintain office supplies, organize filing systems (both electronic and paper), and oversee general administrative tasks including cleaning, organization, and data entry using Microsoft Office tools.
Support front desk operations by greeting patients, managing appointment reminders, verifying insurance details, and ensuring a positive patient service experience.
Uphold confidentiality standards under HIPAA guidelines while managing sensitive health information and medical records.

Requirements

BLS Certificataion
Medical Assistant Certification (desired)
Proven experience in medical office management or administrative support within a healthcare setting; clinic or dental office experience is highly preferred.
Strong knowledge of EMR systems such as Epic, Meditech, Athenahealth or similar platforms; familiarity with Eaglesoft or Dentrix is a plus.
Excellent understanding of medical terminology and billing processes.
Demonstrated ability to review documentation thoroughly for accuracy and completeness while maintaining HIPAA compliance.
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
Bilingual abilities are desirable to serve diverse patient populations effectively.
Proficiency in computer skills including Microsoft Office suite (Word, Excel), typing, filing systems, and health information management software.
Strong customer service skills with professional phone etiquette and a friendly demeanor at the front desk.
