With FDA-inspected facilities in Chandler and Deer Valley, Arizona, Medivant is committed to efficiency, regulatory excellence, and operational integrity in every aspect of pharmaceutical manufacturing.

Position Summary

The Administrative Assistant provides critical support to Medivant’s leadership and operations teams by managing communications, coordinating schedules, maintaining records, and ensuring smooth day-to-day administrative operations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism.

Key Responsibilities

Provide administrative and clerical support to department managers and executives.
Manage calendars, schedule meetings, and coordinate travel arrangements.
Prepare correspondence, reports, and internal documentation.
Maintain organized electronic and paper filing systems.
Assist with purchasing, vendor communications, and invoice processing.
Support onboarding and HR administrative tasks as needed.
Handle incoming calls, emails, and mail distribution.
Track and order office supplies and coordinate facility maintenance requests.
Assist in preparing presentations, reports, and meeting minutes.
Uphold confidentiality and data integrity at all times.

Qualifications

Associate degree in Business Administration or related field, or equivalent work experience.
2+ years of experience in administrative, office management, or executive support roles.
Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
Excellent written and verbal communication skills.
Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
Strong organizational skills and attention to detail.

Preferred:

Experience working in a manufacturing, pharmaceutical, or healthcare environment.
Familiarity with ERP or document control systems (e.g., NetSuite, SAP).
Notary certification or HR administrative experience a plus.

Compensation & Benefits

Salary range: $55,000 – $65,000 annually, based on experience.
