Arizona State University’s Global Education Office (ASU GEO) is hiring an Academic Records Coordinator. The successful candidate will be part of a team of twenty-five (25) working to support ASU’s robust global education programming. Reporting to the Associate Director of Partnership and Exchange Programs, the Academic Records Coordinator manages academic record operations for global education programs within the Global Education Office. This position ensures accurate course scheduling, registration, transcript processing, credit and grade posting across university systems while maintaining compliance with FERPA and institutional policies. Serving as a liaison to University Registrar Services and campus partners, the coordinator supports students, resolves enrollment and record issues, and supervises a student assistant to ensure timely and accurate academic record management.
Essential Duties:
Schedules and maintains courses in PeopleSoft for global education programs including placeholder courses, Global Career Accelerator, and Global Virtual Internship.
Maintains the integrity and privacy of student data in TerraDotta, PeopleSoft and SalesForce.
Processes and maintains global education program transcripts for credit and grade reporting in compliance with FERPA.
Manages batch registration procedures enrolling students in required ASU course sections; monitors enrollment errors, and works collaboratively with International Coordinators, students and campus partners to resolve enrollment issues in a timely manner.
Initiates academic record changes for participants incoming credit/grade conversion, verification of equivalencies, and confirms accuracy of credit to the ASU record upon completion of the academic record change.
Communicates regularly, precisely, and professionally with students and campus partners regarding global education academic record processing.
Serves as liaison to University Registrar Services for operational matters.
Monitors global education course equivalency requests and coordinates with Academic Transfer Credit Solutions to ensure timely and accurate reviews and data entry.
Supervises International Records Assistant student worker.
Other duties and special projects as assigned.
Desired Qualifications:
Demonstrated experience with academic records management.
Demonstrated experience working in PeopleSoft CS.
Experience providing customer service in a team environment and high-volume service unit
Experience in resolving complex issues and researching non-routine inquiries received by students, faculty, staff, University departments, and advising units.
Experience with CRM systems (i.e., Salesforce).
Experience establishing and maintaining effective working relationships with faculty, staff, student, community partners, and other stakeholders.
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Effective communication to perform essential functions.
