Assistant Required Duties

Job Title: Assistant to Alexis Denegal

Position: Full Time – Employee

Hours: Mon-Fri - 8:30 AM – 4:00 PM (subject to change by mutual agreement)

Pay/Schedule: $15-17/hr

Role:

Support Alexis Denegal in Property management by implementing and continually improving systems, procedures and policies. Initiate and deliver projects, maintain client database and interact with clients and service providers as an extension of Alexis Denegal (and Prolific Rentals) and its beliefs and values.

Initiate Required:

1. 95% of responsibilities are to be performed with minimal supervision. This position is the key contact for customers, prospects, tenants, vendors and clients phone calls.

2. Perform assigned duties in a professional, pleasant and efficient manner

3. Flexibility is important, as interruptions will be constant

4. Must work well under pressure and with critical time frames

5. Demonstrate good judgment and reasoning in handling daily activities

6. Demonstrate continued growth and proficiency in completing the tasks listed

7. Maintain the confidentiality of the company and activities of the sales team

8. Getting along with company managers, employees, sales associates and clients

9. Handling difficult situations with grace

10. Consistently showing the ability to recognize and deal with priorities

11. Maintain a well-groomed professional appearance and mannerisms appropriate to greet clients and co-op sales agents.

Physical Demand:

Sitting and standing for periods of time
Walking (may include stairs), turning head and torso, bending and flexing arms, wrist and fingers
Must be able to see, hear and have full power of speech
Local auto travel and minimum long distance travel
Possible lifting supply boxes
Long periods of time typing and use of computer

Working Conditions:

Work is done in a climate-controlled, smoke-free environment. There is routine conversational and office equipment noise.

Dress Code:

Business casual attire is required. Denim is allowed with with Prolific Realty merchandise.

Responsibilities:

Office Management

*Answer calls
*Manage calendars
*Keep supplies filled – presentations, folders, etc
*Online and physical files kept current through a variety of systems
*Follows up with showings every day for feedback
*Procure listings through system dialer
Schedule cleaning services

Client & Transaction Management

*Schedule viewings/inspections
*Process work orders
*Prepare homes for make ready
*Process lease applications
*Prepare property management/ lease agreements
*Coordinate repairs with vendors
*Respond to daily inquiries
Maintain & regularly update CRM
Create and implement client follow-up plans
Prepare Property Management consultation packages
Follows up with showings every day for feedback
Coordinate & attend photography & videography shoots
Prepare Property Management agreements / packets
Schedules / Conducts Home Inspections
Prepare contracts for signatures
Keeps file extremely organized in Transaction Management System – App Files
Input MLS listings and manage list status

Marketing

*Maintain monthly marketing calendar/plan & ensure projects are completed on time Draft marketing brochures
*Ready to lease videos
*Website maintenance and posting
*Implement social media program
*Video maintenance
*Other mailers and marketing as directed by Employer
*Create promotional flyers

Job Type: Full-time

Pay: $18.00 - $21.00 per hour

Expected hours: 40.0 per week
