Full Job Description

Community Manager — Multifamily

Reports To: Regional Property Manager
Classification: [Exempt/Non-Exempt]

Position Summary

The Community Manager is responsible for the overall leadership, financial performance, operational execution, and resident experience of a multifamily community. This position oversees all onsite operations, leads the property team, drives occupancy and retention, manages financial performance, and ensures the community is maintained and operated in accordance with established policies and applicable regulations.

The Community Manager serves as the primary onsite leader and is accountable for achieving property-level operational and financial objectives while maintaining a professional and well-managed community.

Key Responsibilities

Leadership & Team Management

Lead, supervise, and support the onsite team, including leasing, maintenance, and office personnel.
Establish clear expectations and hold team members accountable for performance and community objectives.
Participate in the hiring, onboarding, training, development, and performance management of onsite employees.
Coordinate responsibilities across the onsite team to ensure efficient daily operations.
Promote effective communication and collaboration between office and maintenance teams.
Address employee performance or operational concerns promptly and appropriately.

Financial Management

Develop, manage, and adhere to the annual property budget.
Monitor monthly financial performance and identify significant variances or areas requiring corrective action.
Ensure timely rent collection, bank deposits, and accurate management of resident accounts.
Manage delinquency and enforce lease terms, including coordinating eviction processes when necessary.
Review, approve, and code invoices accurately and timely.
Monitor property expenses and support achievement of established budgetary goals.
Manage vendor contracts and verify required certificate of insurance compliance.
Prepare and submit required financial and operational reporting.

Leasing, Occupancy & Revenue

Execute leasing and renewal strategies designed to achieve occupancy and revenue objectives.
Monitor leasing activity, traffic, applications, move-ins, move-outs, renewals, and notices to vacate.
Review notices to vacate and resident turnover to identify trends and opportunities for improved retention.
Stay informed of market conditions, competitive properties, pricing, concessions, and other factors affecting property performance.
Conduct competitor shops and provide pricing recommendations as appropriate.
Ensure the leasing team maintains accurate knowledge of availability, pricing, lease terms, and community offerings.
Monitor leasing performance and provide coaching or direction when needed.

Resident Relations & Retention

Maintain high standards of resident service and professionalism.
Respond to and resolve resident complaints and concerns promptly and appropriately.
Ensure resident issues are documented and followed through to resolution.
Support resident retention through consistent service, communication, and effective issue resolution.
Enforce lease terms and community policies consistently.
Handle sensitive resident matters with professionalism, discretion, and appropriate confidentiality.

Property Operations & Maintenance Oversight

Conduct regular property inspections to ensure high standards of appearance, functionality, and overall condition.
Coordinate with the Maintenance Supervisor regarding maintenance priorities, unit turns, preventive maintenance, and property needs.
Coordinate make-ready scheduling and unit inspections to support timely apartment availability.
Monitor the condition of common areas, amenities, grounds, vacant units, and other property assets.
Follow up on identified property deficiencies and ensure appropriate corrective action is taken.
Coordinate vendor activity and monitor completion of contracted work as appropriate.

Reporting & Administration

Prepare and submit weekly, monthly, and other required operational reports accurately and on time.
Maintain accurate property, resident, vendor, employee, and operational documentation.
Review property records and documentation for completeness and accuracy.
Monitor key operating metrics and communicate material performance issues to the Regional Property Manager.
Maintain organized records in accordance with established policies and procedures.
Complete other administrative and operational responsibilities required for effective property management.

Compliance & Risk Management

Ensure community operations comply with Fair Housing, ADA, FCRA, and applicable local, state, and federal requirements.
Maintain appropriate documentation and operational practices consistent with established policies and procedures.
Monitor vendor insurance documentation and other required compliance records.
Identify and promptly escalate significant safety, liability, compliance, resident, employee, or operational concerns.
Ensure lease terms and community policies are administered consistently.
Maintain confidentiality when handling employee, applicant, resident, financial, and other sensitive information.

Qualifications

Minimum of three years of onsite multifamily property management experience, including at least one year in a managerial role.
Demonstrated experience in employee supervision, financial reporting, and property operations.
Fair Housing Certification or willingness to obtain prior to hire.
Strong leadership, communication, organization, and conflict-resolution skills.
Ability to manage multiple priorities and make sound decisions in a fast-paced property environment.
Proficiency in Microsoft Office and property management software, such as Yardi, OneSite, or comparable platforms.
Valid driver's license required.
Ability to work a flexible schedule, including weekends as needed.
Must satisfy applicable background screening and drug-screening requirements.
