Backyard Visions, Inc. is a growing, family-owned construction, service, and retail company seeking an experienced Full Charge Bookkeeper & Office Administrator to become a key member of our team.
This is not an entry-level bookkeeping position.
We are looking for someone with strong hands-on QuickBooks Online experience who understands accounting beyond data entry. The right candidate understands why transactions are recorded a certain way and how those transactions affect the Profit & Loss Statement, Balance Sheet, job costing, payroll, and the overall financial health of a business.
This position works directly with ownership and plays an important role in the day-to-day financial and administrative operations of the company. In addition to bookkeeping and payroll, this person will oversee HR administration, help manage customer and project financial records, and work closely with our outsourced bookkeeping firm.
Because we are a growing small business, this position wears many hats. We are looking for someone who enjoys responsibility, takes ownership of their work, and can keep multiple areas of the business organized and moving forward.
Accounting & Financial Responsibilities
- Manage day-to-day bookkeeping functions in QuickBooks Online
- Process Accounts Payable and Accounts Receivable
- Review transactions for accuracy and proper account coding
- Maintain accurate customer, vendor, and financial records
- Monitor customer payments and outstanding receivables
- Prepare and process deposits and maintain supporting documentation
- Maintain accurate job costing and understand how project costs affect profitability
- Review financial information for inconsistencies and investigate discrepancies
- Work closely with our outsourced bookkeeping firm by providing accurate and timely information needed for bank and credit card reconciliations, financial reporting, and month-end processes
- Assist ownership with financial reports and other accounting-related needs
Payroll
- Independently process company payroll accurately and on time
- Maintain employee payroll information, deductions, PTO/sick time, and related records
- Process new hires and employee changes within payroll
- Review payroll for accuracy prior to submission
- Maintain organized payroll documentation and assist with payroll-related reporting and compliance
Construction Job Costing & Project Administration
Our construction division operates through JobTread, which integrates with QuickBooks Online.
This position will help oversee the financial and administrative side of customer projects, including:
- Maintaining accurate job costing
- Tracking customer contracts, payments, billing, and project financial information
- Monitoring budgets, change orders, and job costs
- Working with project managers and ownership to keep project records current
- Helping ensure information flows accurately between JobTread and QuickBooks Online
- Monitoring project financial information and identifying potential discrepancies
Previous JobTread experience is helpful but not required. Training will be provided.
Retail Financial Operations
Our retail division operates through Evosus, which integrates with QuickBooks Online.
Responsibilities include:
- Overseeing the back-end financial processing of retail transactions
- Reviewing daily sales, deposits, customer payments, and supporting documentation
- Helping maintain accurate inventory-related financial records
- Ensuring sales tax is calculated correctly and paid on time in compliance with all applicable requirements
- Ensuring information flowing between Evosus and QuickBooks Online is accurate
Previous Evosus experience is not required. Training will be provided.
Human Resources & Office Administration
- Coordinate new employee onboarding and required employment paperwork
- Maintain confidential employee personnel files
- Maintain employee documentation and records
- Assist with workers' compensation administration, insurance audits, and related reporting
- Coordinate employee notices and other HR documentation
- Work with outside HR and professional resources when needed
- Maintain organized digital and physical business records
- Help coordinate workflow and communication between ownership, construction, service, retail, and office staff
- Assist ownership with administrative projects and day-to-day business operations
Non-Negotiable Qualifications
To be considered for this position, you must have:
- Strong hands-on QuickBooks Online experience
- Solid understanding of bookkeeping and accounting principles
- Ability to understand and explain how transactions affect the Profit & Loss Statement and Balance Sheet
- Experience independently processing payroll
- Experience with Accounts Payable and Accounts Receivable
- Experience with job costing or project-based accounting
- Strong attention to detail and accuracy
- Excellent organizational and follow-through skills
- Ability to learn and confidently work within multiple software systems
- Ability to prioritize multiple responsibilities in a fast-paced environment
- Strong problem-solving and communication skills
- High level of integrity and discretion when handling confidential financial and employee information
Construction accounting experience is strongly preferred.

We are looking for someone who doesn't simply enter transactions or complete assigned tasks. We want someone who understands the accounting behind the work, notices when something doesn't look right, asks questions, investigates discrepancies, and follows issues through to resolution.
