SATURDAY & SUNDAY 10:00AM - 4:00PM

We are seeking an energetic and detail-oriented Weekend Receptionist to join our dynamic team! This vital role ensures smooth front desk operations during weekend shifts, providing exceptional customer service and administrative support. The ideal candidate will be a proactive communicator with strong organizational skills, capable of managing multiple tasks efficiently while creating a welcoming environment for visitors and clients alike. Duties

Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems with professionalism, practicing excellent phone etiquette and providing accurate information or directing calls appropriately
Handle front desk responsibilities including checking in appointments, scheduling meetings, and maintaining visitor logs
Perform data entry tasks such as updating client records, filing documents, and maintaining organized office files
Assist with administrative tasks like calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar software
Support office management activities by coordinating supplies, managing incoming mail, and ensuring the reception area remains tidy and professional
Provide exceptional customer support by addressing inquiries efficiently and communicating clearly with clients and team members

Skills

Bilingual abilities are highly desirable to serve diverse client needs effectively
Proven experience in office management, clerical work, or front desk operations within a professional environment
Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and general computer skills
Excellent organizational skills with the ability to prioritize tasks and manage time effectively during busy weekends
Demonstrated experience in customer service roles with a focus on client communication and support
Skilled in phone reception, including handling multi-line phone systems and practicing courteous phone etiquette
Capable of typing quickly with high accuracy; familiar with proofreading and data entry procedures
Knowledge of basic bookkeeping principles; experience with QuickBooks is a plus
Personal assistant experience or calendar management skills that enhance office efficiency
Ability to perform clerical duties such as filing, proofreading documents, and managing office supplies efficiently
