Job Summary
We are seeking a dynamic and organized Administrative Assistant to support our preschool’s daily operations and ensure a welcoming, efficient environment for staff, children, and families. This vital role involves managing front desk responsibilities, coordinating administrative tasks, and providing exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to help create a nurturing and organized preschool setting. This paid position offers an exciting opportunity to contribute to early childhood education while developing valuable administrative expertise.

Responsibilities

Greet parents, visitors, staff, and children with warmth and professionalism at the front desk
Answer multi-line phone systems promptly and courteously, directing calls as needed
Manage appointment scheduling and calendar management for teachers and staff
Handle data entry, filing, and record-keeping using Microsoft Office, Google Workspace, and other office management tools
Maintain accurate attendance records and assist with enrollment paperwork
Support bookkeeping tasks using QuickBooks or similar software for billing and payments
Assist with general office management duties such as proofreading documents, organizing supplies, and maintaining a tidy workspace
Provide excellent customer support by addressing inquiries efficiently and with a friendly attitude
Coordinate communication between parents, staff, and external vendors to ensure smooth daily operations
Manage office supplies inventory and place orders as necessary to keep the preschool well-stocked

Experience

Previous office experience in an administrative or clerical role is required; experience in early childhood education or a preschool setting is a plus
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
Experience handling multi-line phone systems and phone etiquette in a professional environment
Bilingual abilities are highly desirable to serve diverse families effectively
Familiarity with office management tasks such as filing, proofreading, calendar management, and record keeping
Customer service experience demonstrating patience, professionalism, and excellent communication skills
Knowledge of bookkeeping software like QuickBooks or similar is preferred but not mandatory
Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
