Full Job Description

Primary Job Duties and Responsibilities

Provide personal administrative support to the CEO. Below are duties performed but not intended to be all-inclusive or to prevent other duties from being assigned.

Maintain the highest level of confidentiality regarding all aspects of State Bank.
Manage a moderate-volume calendar of appointments; anticipating and forecasting what will be needed to fulfill these commitments.
Plan, coordinate and ensure the CEO’s schedule is followed and respected. Provide “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and offices. Become familiar with and identify customers that will need to meet with the CEO.
Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
Coordinate and manage the process of scheduled meetings and take meeting minutes when needed.
Serve as the primary point of contact and liaison for internal and external parties on all matters; Monitor, screen, respond to and distribute incoming communications including business and personal emails.
Maintain personal and business files.
Conduct research, collect, and analyze data to prepare reports and documents.
Other duties as assigned.

Secondary Job Duties and Responsibilities

Support for Marketing Department
Enhance team environment through providing backup support to other C-Suite Assistant(s).

Qualifications

Exceptional organizational skills with the ability to manage multiple priorities.
Strong written and verbal communication skills.
High proficiency with Microsoft Office Suite, QuickBooks, especially Excel and other modern productivity tools.
Professionalism, reliability, and a customer-service mindset.
Ability to anticipate needs, take initiative, and solve problems proactively.
Maintains a polished, professional presence.
Displays adaptability and calm under pressure.

Key Responsibilities

Executive Support

Coordinate meetings, prepare agendas, compile materials, and ensure timely follow-up.
Draft, proofread and edit correspondence, presentations, and communications including business and personal emails.
Maintain organized filing systems, records, and confidential documents, both business and personal.
Prioritize and triage incoming requests, communications, and information flow.
Support the CEO in board and board committee preparation, project tracking and all other meetings.
Coordinate travel arrangements, itineraries, and logistics.
Assist with research, project tasks, and special initiatives as assigned by the CEO.
Serve as a professional, welcoming point of contact for internal staff, partners, and community stakeholders.

Confidential & Personal Support

These tasks support the CEO’s ability to operate effectively and maintain schedule efficiency.

Assist with personal appointments, reservations, and time-sensitive errands.
Provide organizational support for personal scheduling that overlaps with business commitments.
Coordinate occasional household, family, or personal administrative items that directly reduce distractions and allow the CEO to focus on business needs as well as build relationship with spouse of CEO to help support personal needs.
Uphold absolute confidentiality, discretion, and professionalism in all matters.
