This position covers a few sub-tiers and the successful candidate will be responsible for duties including the collection and reporting of Beatrice Mayes Institute’s student Public Education Information Management System (PEIMS)/Texas Student Data System (TSDS) submissions, implementing state and federally mandated student assessment programs for the school, as well as managing the student information system and student records. Responsibilities and Duties:
PEIMS
● Performs completion of PEIMS submissions related to student records maintenance for attendance, class scheduling, grade reporting, transcripts, demographic data, school calendars, and other data linked to automated student records.
● Ensures compliance with established plans, policies, and procedures as related to PEIMS.
● Plans, executes, and manages a continuing training and information dissemination program to enable administrators and teachers to effectively carry out organizational procedures respective to student records and PEIMS reporting.
● Ensures that timelines and schedules are met so that data is reported in accordance with State deadlines
● Implements data quality improvement strategies, working within cross-functional teams including technical and business professionals.
● Supports staff with data management and activities related to data planning, recovery, distribution, integration and enhancement capabilities of the data access layer.
● Submits by computer complete PEIMS data in TEA’s prescribed format to Education Service Center (ESC) for processing.
● Implements policies established by state law, State Board of Education rule, and Beatrice Mayes Institute board policy in areas of information technology and management, related to PEIMS.
● Compiles, maintains, and files all reports, records, and other documents required for PEIMS submissions and/or audits.
● Runs, edits, reports and provides verification checks on data to ensure accuracy of campus information.
● Distributes edits and reports to appropriate staff for analysis, verification, and correction.
● Complies with all standards for Texas and federal attendance accounting laws and procedures outlined in the Texas Student Attendance Accounting Handbook.
● Develops and maintains a strong sense of customer service; communicates with various stakeholders, including the superintendent, campus administrators/personnel, state administrators, and software vendors.
● Attends scheduled training sessions related to PEIMS reporting, Student Attendance Accounting, & the Texas Student Assessment Program.
TESTING COORDINATOR
● Implements procedures for ensuring the security and confidentiality of state-mandated testing programs and other assessments.
● Directs & oversees test implementation and monitor testing activities to ensure that procedures are followed and that deadlines are met.
● Consults with staff to provide appropriate testing accommodation for Limited English Proficient (LEP) students and students receiving special services.
● Identifies, investigates, and addresses testing irregularities.
● Reports discrepancies and disciplinary actions taken against students as required.
● Develops and distributes statistical studies, analysis, and evaluation reports as required.
● Serves as a resource person for the needs of students identified as at risk of dropping out based on assessment results and students/parents needing an explanation of state assessment scores.
● Completes evaluation and compliance reports as required by federal and state programs.
● Orders, tracks and monitors location of test materials throughout the distribution, return, and storage process.
REGISTRAR
● Compiles, maintains, files, and secures all reports, records, and other required documents.
● Performs daily attendance.
● Registers students into classes and manage student adds, drops and transfers, and withdrawals.
● Maintains accurate and balanced class counts.
● Manages student files and records.
● Completes grade verification and distribution for progress reports and report cards.
● Maintains all room assignments and class load information within administrative guidelines as directed.
● Receives and forwards all student record transmittals for accurate and complete student record files as directed.
● Annually sets up the student information system at the school level.
● Provides support to the school administration on the creation of the master schedule.
● Creates the master schedule in the student information system, which includes scheduling all students using the SIS scheduling system.
● Communicates with parents, students, and staff providing general information.
● All other related duties as assigned. Qualifications:
● High school diploma or GED, required.
● Bachelor’s degree in Business Administration preferred.
● At least 3 years of related experience Skills and Abilities
● Knowledge of Texas Education Data Standards (TEDS) and collection methods
● Knowledge of the Student Attendance Accounting Handbook (SAAH)
● Knowledge of student information systems and user support, such as Skyward.
● Strong skills in the areas of data integrity and information management.
● Ability to maintain accurate and auditable records.
● Ability to interpret policy, procedures, and data.
● Ability to communicate effectively in both written and oral forms with all levels of management, both internal and external the district.
● Ability to establish and maintain effective working relationships both internal and external to the district.
● Ability to use computer including software, database used by the district, spreadsheet and word processing software, calculator, copy machine and telephone.
● Ability to analyze data.
● Ability to multi-task, use effective public speaking skills, and problem-solving skills.
● Knowledge of the state testing program and accountability system.
● Ability to use student test data systems.
● Ability to perform statistical analysis.
● Ability to use personal computer and software programs to collect, report, and present data and test-related information.
● Ability to develop and deliver training to adult learners.
● Excellent organizational, communication, and interpersonal skills. Work Environment & Physical Requirements
● Light Work: may require occasional light lifting.
● Nights and weekend activities will be occasionally required.
● The position is in an office setting and may involve prolonged work at a desk in one location.
● Moderate travel is required. Salary/Benefits: Competitive/commensurate with experience and other qualifications.

Pay: $55,000.00 - $58,000.00 per year
