Strive Health Services, LLC is a family-owned and operated homecare agency specializing in Private Duty Nursing. We provide one-on-one nursing care to patients of all ages with a wide range of medical needs.
Strive is looking for a Senior Operations Coordinator to join our Bryan, Texas office. This is a hands-on position that combines client service, nurse management, staffing, recruitment, and day-to-day office operations.
The Senior Operations Coordinator will manage a caseload of clients and field nurses while serving as a senior resource for the office. This person will be responsible for maintaining strong relationships with families and nurses, identifying and resolving staffing challenges, supporting recruitment and retention efforts, and helping ensure the office meets its operational goals.
The ideal candidate is someone who is comfortable taking ownership, making decisions, solving problems, and working in a fast-paced environment where no two days are the same.
Job Duties & ResponsibilitiesClient & Nurse Management
- Manage an assigned caseload of clients and field nurses
- Maintain strong, positive relationships with clients, families, and field staff
- Serve as a primary point of contact for assigned clients and nurses
- Respond quickly and appropriately to questions, concerns, and staffing needs
- Coordinate client and nurse schedules to ensure appropriate coverage
- Match nurses with client needs based on qualifications, availability, and patient requirements
- Monitor client satisfaction and proactively address concerns before they escalate
- Support families and nurses through changes in care needs, staffing, and scheduling
- Maintain consistent communication with clients and field staff
Staffing & Recruitment
- Continuously evaluate current and future staffing needs for assigned clients and the office
- Partner with the Recruiter and Operations Coordinator on recruitment activity
- Participate in full-cycle recruitment and nurse retention efforts
- Help identify and remove barriers that prevent successful staffing
- Maintain knowledge of effective and innovative recruiting methods
- Develop relationships with nurses and potential candidates to support ongoing recruitment
- Be accountable for individual and office staffing goals
- Help ensure new patient referrals are staffed quickly and appropriately
- Identify staffing trends and develop solutions to recurring staffing challenges
Operations & Office Performance
- Monitor staffing coverage, fill rates, billable hours, and other key office metrics
- Maintain awareness of the office's performance and progress toward goals
- Work closely with the Operations Coordinator, Recruiter, clinical team, and leadership to resolve operational challenges
- Help prioritize daily office needs and ensure time-sensitive issues are addressed
- Serve as a senior resource for the Operations Coordinator when complex client, nurse, or staffing issues arise
- Take ownership of problems and follow them through to resolution
- Help improve processes and identify opportunities to make office operations more efficient
- As appropriate based on office structure, maintain a reduced client caseload when additional operational responsibilities require it
Customer Service & Grievance Management
- Oversee customer service for assigned clients and field staff
- Handle escalated client and employee concerns professionally and effectively
- Investigate grievances thoroughly and ensure appropriate follow-up and resolution
- Identify recurring customer service concerns and recommend improvements
- Maintain a high level of professionalism when handling difficult or uncomfortable situations
- Ensure customer service and grievance processes are consistent with Strive policies and procedures
New Hire & Employee Support
- Collaborate with the recruitment and operations teams to provide a positive onboarding experience for new field staff
- Review candidate experience and qualifications to help ensure appropriate client assignments
- Ensure new hire assignments are confirmed accurately and timely
- Support compliance with new hire policies and procedures
- Complete personnel file audits as needed and as part of the quarterly audit process
- Maintain ongoing communication with new nurses during the onboarding process
- Support nurse engagement and retention
Compliance & Quality
- Promote Strive's mission, vision, and values
- Follow and reinforce Strive policies and procedures
- Maintain knowledge of applicable state and federal regulations and agency licensing requirements
- Help ensure client and employee documentation remains compliant
- Educate and support team members regarding staffing, customer service, and compliance expectations
- Participate in quality improvement and office performance initiatives
Business & Financial Awareness
- Develop a working knowledge of agency financial reports and operational performance
- Maintain knowledge of client insurance and payer sources, authorization requirements, and their impact on operations
- Make financially appropriate scheduling and staffing decisions within agency guidelines
- Participate in referral processes and new client meetings
- Assist with marketing, social media, and business development activities as directed
- Maintain awareness of local healthcare and staffing trends
Leadership & Team Support
- Lead by example and contribute to a positive office culture
- Share knowledge and assist team members with complex situations
- Help identify operational issues and work with leadership to develop solutions
- Provide feedback and address concerns appropriately when needed
- Support accountability to office staffing and customer service goals
- Communicate professionally and effectively, including during difficult conversations
On-Call
- Participate in on-call responsibilities as assigned
- Provide support and direction to other team members during on-call hours
- Assist with complex staffing, client, and operational issues
What We're Looking For
- Bachelor's degree preferred
- Previous healthcare experience strongly preferred
- Experience in healthcare operations, staffing, recruitment, or customer service preferred
- Previous leadership or supervisory experience is a plus
- Strong customer service and relationship-building skills
- Excellent communication skills
- Strong critical thinking and problem-solving abilities
- Highly organized with the ability to manage multiple priorities
- Self-starter who can work independently and take ownership of responsibilities
- Strong sense of urgency and follow-through
