Document Control Specialist

Job Summary:

The Document Control Specialist is responsible for managing, organizing, and maintaining all company and customer documentation to ensure accuracy, compliance, and accessibility. This role oversees the full document lifecycle—including creation, revision control, approval workflows, distribution, and archival—while ensuring alignment with internal standards, customer requirements, and regulatory guidelines. The document control specialist supports cross‑functional teams by providing accurate, audit‑ready documentation; maintains document management systems, ERP platforms; and safeguards sensitive information. This position plays a key role in improving documentation processes, supporting audits, and ensuring teams have reliable, up‑to‑date information to drive operational and project success.

Key Responsibilities:

· Maintain and manage all company and customer documentation throughout its lifecycle — including creation, revision control, distribution, and archival — ensuring accuracy, completeness, and compliance with company policies, customer requirements, and regulatory standards.

· Track and control document revisions, manage approval workflows, and enforce proper versioning to prevent discrepancies or outdated information from being used. Including the generation and management of Change Control Notices (CCNs), ensuring changes are properly reviewed, approved, documented, communicated, and implemented in accordance with internal procedures and customer requirements.

· Monitor applicable regulatory and industry requirements, support internal audits, and ensure documentation consistently meets compliance expectations.

· Collaborate with cross‑functional teams to gather, verify, and consolidate information needed for operational, quality, and project activities.

· Compile, code, categorize, calculate, tabulate, audit, and verify data to ensure accuracy and integrity across documentation and records.

· Enter and maintain Bills of Materials (BOMs) within the ERP system, ensuring correct structure, part numbers, and revision alignment.

· Train and guide employees on document control procedures, standards, and best practices to promote consistent and compliant documentation habits.

· Safeguard sensitive and confidential documents while ensuring appropriate accessibility for authorized personnel.

· Process document updates and revisions accurately and within required timelines to support operational efficiency.

· Ensure all documents undergo proper review, approval, and sign‑off by designated personnel before release or distribution.

· Prepare, organize, and maintain documentation systems for all project‑related materials, including drawings, reports, and technical records.

· Utilize document management platforms (such as SharePoint), ERP system and related tools to track, store, and control documents throughout their lifecycle.

· Conduct periodic document audits to verify accuracy, completeness, and compliance with internal standards and procedures.

· Archive records in accordance with established retention schedules and regulatory requirements.

· Perform other duties as assigned to support project, operational, and organizational needs.

Required Skills and Qualifications:

· Proven experience in document control, records management, or a similar role.

· Proficiency with document management software, Microsoft Office Suite, ERP systems, and database management tools.

· Strong attention to detail, organizational skills, problem-solving, and ability to handle confidential information.

· Familiarity with ISO standards (ISO 9001), AS9100 and other industry-specific compliance requirements.

· Able to work independently and as part of a team.

· Ability to manage multiple priorities in a fast-paced environment.

· Excellent communication and interpersonal skills.

· Strong leadership and decision-making abilities.

Work Environment and Reporting:

Office-based.

Reports to Quality Assurance Manager.

Interacts with multiple departments, including engineering, quality, manufacturing, and compliance.

Pay: $36,000.00 - $52,000.00 per year
